    The Volunteer Navigator works closely with department staff, volunteers, and various internal departments to ensure smooth coordination and execution of volunteer-related activities.     This position is hybrid with a primary location in Alexandria, VA.

    ** This position is available for hire in January 2025 ****

    Responsibilities

    • Provide administrative, logistical, and coordination support for department volunteer groups.
    • Assist in scheduling, sending appointments, and confirming meeting attendance for volunteer activities. Work with staff liaisons to plan for future meetings.
    • Coordinate and support all volunteer meetings, whether virtual or in-person, including assisting lead staff with availability and logistics.
    • Utilize Oracle and other databases to submit, code, and track volunteer reimbursement expenses, ensuring accuracy and compliance with ASCO policies.
    • Facilitate the onboarding process for volunteers in Oracle and other relevant systems.
    • Collaborate with Meetings staff to secure meeting space, coordinate catering orders, and arrange travel and hotel accommodations for volunteers.
    • Work with A/V staff to ensure proper room setup and address audiovisual needs for volunteer meetings.
    • Support and coordinate with ASCO's Volunteer Services team on volunteer invitations and terms, including volunteer research, database reports, invitations and tracking, COI updates, communications, and verification of volunteer rosters.
    • Perform other duties as assigned by department leadership.

    Required Education and Experience

    • Bachelor's degree or equivalent years of experience, education, or training
    • 3+ years of comparable administrative support and customer service experience
    • Familiarity in administrative scheduling support
    • Proficiency in Microsoft Office Suite and experience with database management (e.g., Oracle).
    • Proficiency with Online meeting hosting (e.g. Zoom)
    • Proficiency working with Microsoft products and a willingness to adapt to new technology
    • Practical experience with Customer Relationship Management software
    • Occasional travel to Annual Meeting for potential support for ASCO Governance, as well as support of Member Services department’s recruitment and retention program and collective team goals as needed

    Preferred Education and Experience

    • Previous experience in volunteer management
    • Previous experience with event planning and coordination.
    • Previous experience with expense management

    • Excellent communication skills, including written, with ability to clearly convey and receive information
    • Excellent interpersonal and customer service skills, with the ability to work effectively with volunteers, staff, and external vendors
    • Ability to work independently and collaboratively in a fast-paced environment
    • Sound Judgement, problem-solving and analytical skills
    • Excellent time management skills with ability to meet deadlines, prioritize, and multi-task
    • A positive attitude and the ability to build relationships

    ADA/Physical Requirements

    Extended periods seated or standing at a desk.

    High use of computer and other office technology equipment.

    Travel

    5-7 days/yr
