    Description

    We are seeking a highly capable and resourceful Project Executive Assistant to provide direct support to a coalition manager and broader coalition. This role requires a professional who can manage complex processes with agility, discretion, and focus. The ideal candidate will be instrumental in maintaining seamless operations, managing calendars, planning meetings, and supporting high-level decision-making efforts.

    Position Details and Key Responsibilities

    1. Executive and Coalition Support:
      1. Serve as the primary administrative point of contact for the principal executive and coalition members.
      2. Manage and maintain calendars, scheduling complex meetings across multiple stakeholders
      3. Plan, coordinate, and prepare for meetings, including drafting agendas, managing logistics, and taking detailed notes.
      4. Track action items, follow up on deliverables, and ensure deadlines are met.
    2. Process Management:
      1. Handle intricate workflows that require critical thinking, discretion, and the ability to adapt quickly to changing priorities.
      2. Monitor and streamline processes for coalition collaboration and communication.
      3. Assist in organizing and managing coalition projects, ensuring all moving parts are aligned.
    3. Communication and Coordination:
      1. Act as a liaison between the coalition manager, coalition members, and external stakeholders.
      2. Draft, edit, and manage correspondence and documents on behalf of the executive.
      3. Ensure clear, consistent, and professional communication across all levels.
