    The Development & Communications department at North Helpline strengthens our existing programs while expanding the impact of our work through community-centric fundraising. We prioritize amplifying the voices of those we serve in our communications and outreach, fostering authenticity and trust.     The primary responsibility of the Development & Projects Coordinator is to support the operations of the development department at North Helpline. With the Development & Communication Manager and the Development & Engagement Coordinator, this position will evaluate and identify fundraising streams and opportunities for stewardship.

    To ensure that the highest level of services are provided, additional duties and responsibilities may be assigned as needed.

    Essential Duties and Responsibilities

    To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

    • Donor Stewardship
      • Steward the Donor Acknowledgment program, including weekly thank you letters and annual tax receipts.
      • Assign stewardship activities to the rest of the development team
      • Support the Executive Director and Board of Directors in stewarding donors, including scheduling and preparing for donor meetings.
      • Research prospective donors and prepare detailed analyses to support outreach efforts.
    • Database (Salesforce) Lead
      • Manage data entry, report generation, and gift processing, including weekly offline gift entry. Ensure Salesforce database records are up to date and accurate. Run, maintain, and distribute weekly reports for the team and as needed.
      • Work with the bookkeeper to ensure donor software (Salesforce) and accounting software (Quickbooks) balance and donations are appropriately tracked in both locations.
      • Prepare a monthly development dashboard for senior leadership, analyzing key metrics and trends.
      • Conduct donor analysis of donor data to identify trends, preferences, and areas for improvement.
    • Administration and Project Support
      • Provide administrative support for development and office activities, including mailings, development expense budget tracking, and maintenance of files on Google Drive, as well as support the maintenance of office supplies.
      • Manages vendor relationships, including direct mail, material content production, and other contracted creative services as needed.
      • Explore tools and platforms to strengthen our development efforts in alignment with our strategic fundraising plan; provide recommendations and take the lead on implementing those that are approved.
      • Lead the transition to the Classy donation platform and integration into Salesforce.
      • Provide annual updates on nonprofit evaluator sites and assessment organizations (Better Business Bureau, GuideStar, Charity Navigator)
      • Manage and submit North Helpline development credit card expense reports.
      • Assist in the creation and maintenance of succession plans and workflow documentation.
      • Maintains an up-to-date inventory of all development supplies and storage.
      • Work with the development team to plan and execute fundraising events, including ticket sales, logistics planning, vendor outreach, event attendance, event reporting, and reconciliation with the accountant.
    • Organizational support
      • Work with the volunteer supervisory team to delegate tasks to volunteers as needed.
      • Attend Staff Meetings and report on pertinent issues.
      • Assist in enhancing the intersections of donors and volunteers.
      • Other duties as assigned.

    Education & Experience

    1 to 3 years of relevant experience with the majority of the following between a combination of education and professional roles:

    • Familiarity with the best practices of nonprofit fundraising.
    • Familiarity with event planning and audience growth.
    • Familiarity with the Google ecosystem (Google Sheets, Docs, Drive, etc) and Microsoft ecosystem (Excel, Word, PowerPoint, etc).
    • Familiarity with moderate computer functions within the Windows OS ecosystem.
    • Familiarity with print merges, label making, and other advanced printer functions, preferred.
    • Familiarity with the Salesforce CRM (or similar), specifically the Nonprofit Starter Pack (NPSP).
    • Familiarity with generating reports from Salesforce CRM (or similar).
    • Familiarity with data analysis and making recommendations from your findings.
    • Familiarity with serving populations who may be food and/or housing insecure, preferred.
    • Familiarity with budgeting and/or reading financial reports such as a Form 990, preferred.
    • Familiarity with the principles of Community Centric Fundraising, and a willingness to aspire to an increasingly community-centric model of fundraising at North Helpline.
