We are seeking a newly created Office Manager role to assist the Executive Director in accomplishing the goals, objectives, and functions of the organization. Primary duties include providing administrative support to the Executive Director in the daily responsibilities to support the programs and activities of UCANE.
Responsibilities include: Represents the Executive Director daily to members, committees, boards, commissions and the staff regarding inquiries, scheduling, issues, projects, and programs.
Maintains superb member relations in accordance with UCANE policies and procedures, explains and promotes the programs and services offered by UCANE.
Oversee daily office operations to ensure sustainability and continued quality of programs, publications, services, and events and to enhance the efficiency of the communications and maintaining a positive UCANE image and brand.
Prepares documents, presentations, and correspondence; maintains organized filing systems including human resource paperwork, financial records, and budget preparation.
Works with Operations Assistant to ensure the captureand ongoing maintenance and up to date contact information for members and associate members, agencies, officials and their organizations for accurate communication, invoicing, and membership relations.
Oversee UCANE financial recordkeeping of outgoing invoices and incoming payments through accurate and timely accountsreceivable and accounts payable operations. Ensures that deposits are prepared in a timely mannerin accordance with UCANE financial policies and regulatory requirements.
Works with the Marketing and Operations team on special events and projects including preparation, on site assignments, participation and follow-up as needed.
Assists Utilizes and understands Microsoft Office Suite, Quick Books, Wild Apricot, and other business-specific software.
Education and Experience: Bachelor’s degree in business administration or a related field preferred; at least five to seven (5-7) years of progressively responsible administrative experience in an Executive Assistant or Office Manager role; proficiency in Microsoft Office Suite, or any equivalent combination of education and experience.
Salary and Benefits: Full-time Benefit-eligible position Salary range $82,000 - $94,000. Estimated start date March 2025.
