    Commitment: Full-time, salaried position

    Compensation: $65,000 - $70,000

    Health Care Coverage: Survivor Alliance contributes up to $7,000 (for an individual) or $14,000 (with dependents) for medical, dental, and vision coverage per year. Short-term disability is provided at no cost to full-time employees.

    Location: Remote position, can be based anywhere in the Eastern time zone in the US; must have the legal right to work in the US; required on a regular basis to work with people based in other global regions and must attend regular meetings with colleagues working in Eastern Standard time and GMT/British Summer Time

    ABOUT THE ORGANIZATION

    Survivor Alliance’s mission is to unite and empower survivors of slavery and human trafficking around the world to be leaders in the anti-slavery movement. Founded by three survivors of human trafficking, we are of, by, and for survivors. We believe that investing in survivors is a key anti-trafficking intervention. For too long, survivors have been ignored and tokenized in anti-trafficking work. Although there is greater inclusion in some countries, such as the United States, it is not yet an integrated best practice in the US or throughout the world. Additionally, there remains a gap in ethical, meaningful, and structural engagement with survivors and limited actors developing guidance for survivor engagement. Survivor engagement in anti-trafficking work also remains siloed from other social justice movements, such as workers’ rights and gender-based violence movements.

    The Survivor Alliance team are the architects of connectivity. We build bridges between survivors and their own potential and between survivors of different experiences and backgrounds. We are also building bridges, alongside our fellow survivors, between their lives immediately after enslavement and what the rest of their life can be.

    By uniting survivors of human trafficking around the world and building collective power, Survivor Alliance pursues an intersectional approach to social justice. We believe that survivors of human trafficking are more than their experience of this particular trauma and we invite everyone to do the same. Our approach integrates personal healing and justice with community healing and justice.

    Through empowering survivors - by which we mean providing the resources, support and training so that survivors can harness their own inner power - we are supporting the growth of educated, self-aware, and capable survivor leaders. We share our lessons and methodology for working with survivors and link our members to opportunities in the anti-trafficking movement. In doing so, we are leading the field in how to engage with survivors and facilitating increased survivor-ally collaborations. In all of our programs, we focus on meaningful survivor inclusion, economic empowerment, and well-being.

    Position Summary

    The Operations Manager will provide comprehensive support across multiple functional areas, including operations, human resources, administration, communications, and IT. In collaboration with the Senior Leadership Team, this role ensures operational efficiency, policy compliance, and alignment with organizational goals. This role requires a highly organized individual with the ability to manage and track details for multiple concurrent projects. The Operations Manager will play a key role in developing and maintaining effective administrative and operational systems, processes, and infrastructure to ensure the smooth functioning of the organization in support of our mission.

    The Operations Manager must be a proactive self-starter with prior experience in administrative and operational support, capable of adapting to a dynamic, fast-paced environment. They will serve as a key liaison, ensuring that information flows efficiently to meet both internal and external deadlines. This individual should possess strong communication skills, with the ability to manage expectations and hold team members accountable while maintaining resilient relationships across the organization.

    Comfortable navigating between various functions, the Operations Manager will effectively manage their time to handle the diverse tasks associated with operations, administration, and IT support. The ideal candidate is an expert in time management, able to balance multiple responsibilities without sacrificing attention to detail. They should also be tech-savvy, capable of quickly learning new software platforms and providing technical support to staff as needed. An independent problem-solver, the Operations Manager will have the resourcefulness to navigate multi-state and international administrative challenges, ensuring compliance with internal systems and regulations across the regions in which we operate.

    The Operations Manager will report to the Deputy Director.

    Key Responsibilities

    Operations (30%)

    • Establish Standard Operating Procedures (SOPs): Formalize and support pre-existing processes ensuring consistency and efficiency across the organization.
    • Process Improvement: Proactively assess systems, processes, and procedures for efficiency and efficacy; recommend improvements.
    • Compliance: Assist the SLT in ensuring compliance with organizational policies, including finance, operations, and HR policies.
    • Audit Support: Support the audit process and coordinate the maintenance of all financial documentation (W8/9s, vendor forms, 1099s, etc.).
    • Filing & Deadlines: Maintain a list of annual deadlines for various filings, including state registration renewals, and ensure timely submission of required documentation.
    • Insurance: Assist with the liability insurance renewal process, including gathering quotes, providing necessary documentation to the broker, and keeping records of active policies.
    • Process Implementation: Support the SLT in developing, rolling out, and overseeing the implementation of finance-related forms and processes.

    IT Systems Management and Support (25%)

    • Software Licensing: Manage subscription software licenses and liaise with business account managers for renewals and technical support.
    • Troubleshooting: Aid in resolving error notices in the system software.
    • User Management: Manage user provisioning for platforms (Zoom, Slack, Asana, Google Workspace, etc.), including adding and deleting users and setting permissions.
    • Technical Development: Support the team’s capacity for technical development and address IT-related needs as they emerge.
    • IT Training: Develop and deliver IT training sessions to staff as needed.
    • Resource Management: Maintain IT resource catalogs and direct staff to supplemental guides.
    • Collaboration: Occasionally collaborate with the Membership Coordinator to offer webinars on improving engagement with operational systems.
    • Google Workspace Management: Collaborate with the ED/DD to manage Google Workspace organization, file access/share requests, and intuitive pathways for file storage.
    • Device Management: Oversee device lifecycle management, including procurement, deployment, maintenance, and reclamation of IT assets.

    Human Resources (30%)

    • Personnel File Management: Maintain updated personnel files for all staff for payroll, benefits, and safety purposes.
    • Benefits Coordination: Support staff benefits management, including coordination with brokers, supporting open enrollment, and renewing policies for healthcare, disability, dental, and vision insurance.
    • HR Calendar & Trainings: Maintain the organizational calendar and schedule team training sessions.
    • Hiring Support: Assist with the hiring process, including coordinating schedules, liaising with candidates, and gathering feedback.
    • Onboarding/Offboarding: Manage the onboarding and offboarding processes for staff, contractors, and volunteers.
    • Contract & Documentation: Create contracts and exhibits for consultants and compile new personnel files.
    • Compliance Records: Maintain and track compliance records for organizational policies.

    Communications (10%)

    • Develop and manage internal staff communications: Ensure timely, clear, and consistent dissemination of important information across the organization, including updates on organizational policies, technological upgrades and key announcements.
    • Website Maintenance: Perform regular updates on the organization’s website via SquareSpace, including event posts and program updates.
    • Phone System Management: Maintain and respond to the business Google Voice account and update office greetings as needed.

    Professional Development (5%)

    • Ongoing Learning: Participate in professional development activities as specified by the Senior Leadership Team (SLT), including workshops, readings, and meetings, to deepen knowledge in areas such as social justice, budgeting, fundraising, and other relevant topics.
    • Trauma Informed Supervision Coaching: Engage with a Mental Health Consultant for individual and team support.
    • Development Goals: Collaborate with the DD to set and pursue individual professional development goals through workshops, trainings, and other opportunities.

    Qualifications

    • Demonstrated commitment to our organizational values.
    • Must have the legal right to work in the US.
    • Ability to synthesize and clearly articulate ideas verbally and in writing in English
    • 3-5 years of experience in an operations role. Nonprofit experience preferred.
    • Degree or certification in business administration, operations management, human resources, or a related field, or equivalent experience.
    • Experience overseeing organizational operations including IT administration, security protocols, data protection, and policy compliance.
    • Strong IT skills, including the ability to learn new software/platforms quickly, train others on software programs and help others troubleshoot challenges.
      • Preference for familiarity with Google Workspace, Slack, DocuSign, and Zoom
    • Outstanding time management skills and the ability to pivot and quickly reprioritize tasks, as needed
    • Ability to track and follow through on details for multiple priorities without losing track of deadlines or other important information
      • Confidence in using online task management platforms, with a preference for experience using Asana
    • A knack for optimizing systems and processes to meet user and organizational needs
    • Ability to communicate complex technical information to non-technical stakeholders
    • Demonstrated ability to navigate cultural and language differences among global stakeholders, including utilizing translated materials and simultaneous interpretation
    • Demonstrated capacity to think strategically and analytically, displaying good judgment in complex problem solving, decision making and critical thinking skills
    • Ability to undertake occasional international travel
