    About Canary Media

Canary Media is an independent, nonprofit newsroom covering the transition to clean energy and solutions to the climate crisis. We report on how the world is decarbonizing — in electricity, transportation, buildings, and industry — with a critical focus on finding out what works and what doesn’t. Through uncompromising reporting, our journalists dig into the ways policymakers, businesses, investors, and communities are moving toward a clean and equitable energy future.

    About the position

Are you an administrative pro with a background of working in nonprofits? Do you have experience in HR and finance? Do you crave order and love setting up systems to keep things organized? Do you thrive while juggling multiple projects in a busy, fast-changing workplace? Would you relish the challenge of helping us merge with another small nonprofit team? Do you want to be an integral part of an ambitious journalism nonprofit covering climate solutions?

If so, then this could be the job for you: Canary Media is seeking to hire an administrative specialist. The person in this role will report to the general manager.

This is a full-time position. Canary Media’s staff is dispersed, so employees can work remotely from anywhere in the U.S. We strongly encourage individuals from underrepresented groups to apply.

    Key responsibilities

    • Oversee the daily administrative functions of the organization
    • Manage accounts payable and receivable, maintain financial records, and produce budget reports
    • Liaise with our human-resources contractor to handle HR issues
    • Manage regulatory compliance
    • Implement and improve organizational systems and procedures
    • Organize and update databases of subscribers, donors, contractors, and others
    • Track grant proposals, applications, agreements, and deliverables
    • Coordinate with external vendors and service providers
    • Support the leadership team with administrative tasks and project management
    • Foster a positive work environment and organizational culture

    Qualifications

    • At least 5 years of experience in an administrative role, preferably in a nonprofit setting
    • Bachelor’s degree or equivalent experience
    • Experience using QuickBooks, Bill.com, or other accounting software
    • Experience working in payroll and benefits portals
    • Experience handling HR responsibilities
    • Strong organizational skills
    • A problem-solving mindset
    • Obsessive attention to detail and dedication to accuracy
    • Well-developed people skills and communication skills
    • Unflappability
    • A sense of humor — even in the face of daily organizational tumult and the climate crisis

    Bonus if you also have

    • Experience working with the Insperity HR platform
    • Job experience related to climate change or clean energy
    • A passion for climate action

    Compensation

The salary range for this role is $75,000–$90,000. Salary to be determined by considering the candidate’s experience, knowledge, skills, and abilities, as well as internal equity and alignment with market data.

    Benefits

We offer a comprehensive benefits package including:

    • Medical, dental, and vision insurance
    • 401(k) retirement plan with immediate 4% match
    • Generous vacation time policy plus 11 paid holidays a year
    • Parental leave
