    The Organization

    Project Guardianship (PG) is a 501(C)3 nonprofit organization that provides guardianship services for older adults and people with disabilities in New York who have been determined by a judicial proceeding to need help making decisions and have no family or friends able to assist them. PG’s team approach employs attorneys, case managers, and finance associates to provide clients with services that allow them to be as independent and in the least restrictive setting as possible. Since 2005, PG has served hundreds of New Yorkers and has become a leading voice in a national, interdisciplinary effort to re-envision and strengthen guardianship policy. Drawing on our direct service experience, Project Guardianship seeks to influence policy and practice that impact people in the guardianship system, both statewide and nationally. We educate decision-makers at the local, state, and federal levels about the current gaps in care, the growing population in need of guardianship, and practical approaches for addressing them.

    The Role

    The Controller, reporting to the CEO, is responsible for overseeing Project Guardianship’s finances, including creating and maintaining accurate and timely nonprofit financial reports for the organization through managing the general ledger, maintaining an accurate trial balance, preparing financial statements, and managing grant and contract fiscal reporting[NC1] [GU2] . The Controller will lead the day-to-day finance operations, implement policies and procedures, and perform the organization’s accounting functions. The Controller’s skills and participation will also be solicited and valued as an important contributor to Project Guardianship projects, including participating in annual budgeting and strategic planning processes.

    Major Responsibilities - Financial Management

    • Serve as the organizational leader in the nonprofit’s finance and budget management and related supervision
    • Ensure the integrity, accuracy, and usefulness of all financial reports
    • Prepare year-end workpapers and act as primary liaison with independent auditors to ensure successful annual audits
    • Continuously monitor cashflow
    • Review and share revenue, cash, and expense results and projections with the CEO, Board of Directors, and staff and serve as the main contact for the Finance Committee of the Board
    • Execute and supervise all grant and contract management activities including budgeting/analysis, funding proposals, grant management from post-award to closeout, billing (which includes putting together supporting documentation such as payroll registers, invoices, timesheets, etc.), and fiscal year closeout for grants
    • Manage banking relationships and develop and maintain GAAP-compliant financial policies, procedures, and operations
    • Record all financial transactions in organization’s accounting software and complete bank reconciliations
    • Oversee preparation and filing of organization’s Form 990 and Charities (CHAR500) form, as well as other tax filings as required
    • Perform and supervise all accounts payable and accounts receivable/cash receipt functions
    • Oversee Accounts Payable including monthly automatic bill payments, check printing, online bill pay, distribution of petty cash and cash allowances, and client credit card reimbursements
    • Develop and manage internal fiscal controls and procedures to achieve best practices; streamline processes and use technology to create greater efficiencies
    • Work with the leadership team to further the organization’s deep commitment to racial equity

    The ideal candidate will encompass the following qualifications:

    • Bachelor's degree in finance, accounting, or economics; MBA/CPA a plus
    • 8+ years of progressive experience; nonprofit finance and accounting experience required
    • Experience with implementation of internal controls, policies and procedures, and best practices strongly desired
    • Experience with financial statements
    • Proven track record in grants management and experience with NYC and NYS government contracts desired
      • Experience with managing subcontracts a plus
    • Technical proficiencies: Microsoft Suite, CRM, managing vendor/consultant partnerships
      • Proficiency with Abila MIP accounting software is strongly preferred
    • Excellent communication skills; ability to prioritize, negotiate, and work with a variety of internal and external stakeholders
    • A multi-tasker with the ability to wear many hats in a fast-paced environment
    • Passion for the work and mission of Project Guardianship and a singular focus on sound operational and financial practices in service of Project Guardianship’s service delivery

    Salary

    • $90,000-$110,000 (starting salary commensurate with experience)
