    Training Programs Coordinator

    Position Summary

    The Training Programs Coordinator’s primary responsibility is to provide event coordination and administrative support to all events and training programs within the IOCDF Training Institute, which includes professional training programs and events for mental health professionals, students, and trainees. This position will report directly to the Training Manager.

    Qualifications to Perform the Job

    • Bachelor’s degree (or equivalent) is preferred.
    • Spanish language proficiency is strongly preferred.
    • Experience in a non-profit setting is preferred.
    • Experience in event planning/coordination preferred.
    • Experience using technological solutions for event coordination (such as CVENT) data tracking (such as Salesforce) and learning management (such as Docebo) is preferred.
    • Experience with continuing education protocols preferred.
    • 2-3 years of experience in a fast paced office environment or equivalent is required.
    • Prior experience with working with customers and providing Customer Service is required.
    • Excellent computer skills, especially in word processing, spreadsheets, and database software: Proficiency in Microsoft Office (Word, Powerpoint, Excel) and G suite required.
    • Excellent oral and written communication skills.
    • Exemplary organizational skills, ability to manage and refine tracking systems for event coordination and program tracking.
    • Some lifting of boxes/event set-up; may require lifting items weighing up to 30 pounds.
    • A willingness and ability to staff weekend events including travel to in-person events (approximately 6-8 times per year) and working live virtual events (5 - 7 times per year) is required.
    • A passion for mental health care is required, knowledge of OCD and related disorders is a plus.
    • Knowledge of DEI related issues in mental health systems and commitment to equitable access to education/treatment required.

    Duties and Responsibilities

    • General Event Administration:
    • Manage Google Drive documents, filing, etc.
    • Manage training email inbox, respond to event and program related emails and phone calls from attendees and faculty.
    • Book travel and lodging for live events as needed.
    • Coordinate with event location for on-site event planning (F&B, AV, room-set-ups, adhering to contracts)
    • Serve as the first point-of-contact at registration, whether online, over the phone, or in-person.
    • Monitor registration process via an event management system (CVENT) and make registration adjustments for clients as needed.
    • Ensure that attendee data is successfully transferred to the central client management system (Salesforce).
    • Create and process event survey data.
    • Issue certificate of completion for CE credits, certificate of program completion, and track program completions in Salesforce.
    • Faculty Communications and Coordination:
    • Track and process faculty Speaker Agreements and honorarium forms, under the oversight of the Training Manager process receipts for reimbursements
    • Collect all necessary materials (e.g. learning objectives, slides, continuing education forms, recordings, etc.) from faculty.
    • Training Institute Programs Support:
    • Build event and program websites, track website update needs.
    • Provide administrative support for webinar program, answer participant questions and manage registrations, assist in scheduling of video recordings, process faculty honorariums.
    • Provide administrative support for Online Consultation group program, coordinate schedule with faculty, build, manage, and maintain registration system (CVENT)
    • Manage training email inbox, respond to event and program related emails and phone calls from attendees and faculty.
    • Work with the Training Manager on additional duties and projects including administrative support.
    • General Organizational Support:
    • Travel required for the annual organization-wide conference in July in addition to training schedule.

    Position can be based in office in Boston, MA (hybrid 3 days in office) or remote. Direct manager is full-time remote and in Pacific time-zone (working hours 10am - 6pm EST). Due to travel requirements for this position, ideal candidate will be located close to major airport. Majority of travel will be domestic U.S., however some international travel may be required.
