    Purpose of role:

    MAG US is a strong and trusted partner to the US government due to its technical excellence, sector leadership, reliability, as well as its strong and professional approach to grants management. To maintain and strengthen this reputation, MAG US is seeking a Grants Officer who is highly organized, detail-oriented, and eager to learn about the mine action sector and our growing portfolio of work in weapons and ammunition management. This role is primarily administrative, providing essential support for all MAG US and donor-related grant and compliance needs. However, it will also offer the opportunity to engage more deeply in our subject matter by supporting program teams during the proposal process, managing grant amendments, and ensuring alignment to US Government priorities. The ideal candidate will be comfortable advising on language, presentation, and strategic alignment to donor interests while maintaining a strong understanding of federal grant management.

    The Grants Officer will play a key role in monitoring compliance, collaborating with MAG teams across departments, and occasionally providing training on grant management standards and processes. This position is perfect for someone who enjoys managing tasks, thrives in a fast-paced environment, and is excited to contribute to MAG’s important work across the globe. The Grants Officer reports directly to the Grants Manager and will be an integral part of ensuring MAG US’s continued success in securing and managing US Government funding.

    Key Responsibilities:

    Administration (50%)

    • Supports pre- and post-award activities, including proposal and amendment management, budget preparation, reporting, grant opening and closeout, and other grant related processes.
    • Maintain and update internal grant management systems and databases.
    • Work closely with MAG HQ and program staff to prepare subawards and review key deliverables
    • Maintain organized records and filing systems.
    • Ensure quality control and timely submission of donor reports, proposals, and amendments.
    • Other responsibilities as assigned.

    Program Support, Monitoring, and Compliance (30%)

    • Advise MAG on grant regulations, policies, and compliance.
    • Work closely with the Grants Manager to maintain and continuously improve internal grant management manuals and processes, updating as needed.
    • Participate in regular calls with finance, program, and other support teams to coordinate deliverables.
    • Monitor grant progress by tracking activities, achievements, and challenges.
    • Identify and support MAG to mitigate potential compliance risks.
    • Build the capacity of program and HQ staff in grant compliance and program/budget development
    • Review and provide feedback on program plans and proposals, advising on strategic US interests and alignment to donor priorities.
    • Other responsibilities as assigned, which may include international travel to overseas programs or MAG HQ.

    Donor Relations (20%)

    • Maintain regular, professional communication with US government partners as they relate to grant matters.
    • Represent MAG US at events, briefings, and conferences as needed.
    • Coordinate and participate in meetings with US government partners to discuss current or potential projects.
    • Support the preparation of donor communications, amendments, and responses to data calls.
    • Other responsibilities as assigned.

    Requirements:

    • Deep commitment to MAG US’s vision, mission and values and the ability to model those values in relationships with colleagues and partners.
    • 2-4 years of federal grant management experience.
    • Minimum of a Bachelor’s Degree in a related field.
    • Strong knowledge of federal regulations and uniform guidance, particularly 2CFR200, and their application in international programming.
    • Experience in proposal management, compliance, and donor reporting.
    • Excellent organizational and communication skills, with a strong attention to detail.
    • Ability to work independently with minimal supervision, as well as effectively communicate across-departments.
    • Experience with grants management best practices, systems, or software.
    • Ability to prioritize, multi-task, and meet deadlines.
    • Proficiency in Microsoft Office suite.

    Other Preferred Qualifications:

    • Experience working with the Department of State and/or USAID.
    • Experience working for an International NGO.
    • Experience working or travelling for work overseas, especially in developing countries.
    • Experience designing and delivering training materials and internal guidance.
    • Experience in grant accounting or program budget development.
