    Reports to: Senior Manager of Finance and Operations

    This role requires a person who is interested in doing behind the scenes administrative, operations, and finance work that requires concentration, attention to detail, and interest in working on projects that require varying degrees of repetition on the one hand and adaptability to changing systems on the other hand. You are incredibly organized and detail oriented, you love to work with numbers and manage your own personal budget with care. You thrive on an empty inbox.

    You’re comfortable reviewing voicemails and making calls to JVP donors and members on the phone to assist with various questions or inquiries. You are passionate about social justice and the movement for Palestinian liberation, and you know the right role for you is behind the scenes, making sure the right information gets to the right people. You can work on your own to get a project done from beginning to end with no mistakes.

    About the role:

    We are seeking an Operations, Finance, and HR Coordinator to provide the logistical infrastructure and expertise for the programmatic, fundraising, finance, and Human Resources work of our remote organization. Our Finance and Operations Department is the backbone of the work of the organization across programs and also makes sure that the organization is properly caring for our staff as people, workers, and movement leaders. The Operations, Finance, and HR Coordinator will conduct operational tasks for other departments and teams.

    Duties and responsibilities include:

    Virtual Office “Front Desk” Duties - (20% of role)

    • Family of Organizations email inbox monitoring/responding/forwarding
    • Check voicemail, make return calls, or direct information as necessary.
    • Manager of phone system

    Basic Data Administration (10% of role)

    • Membership & Fundraising data admin
    • Answer questions from members/donors about their donation records
    • Work with Data team to make updates to member/donor data

    Finance (35% of role)

    • Monthly bank reconciliation spreadsheets for JVP using EveryAction, PureSight, Paragon, Excel, and Google Sheets.
    • Check deposit coding
    • Process bill payments using BILL (online software)
    • Process and facilitate staff credit card reconciliations using Expensify and Google Sheets
    • PayPal reconciliation spreadsheet using PayPal, Excel, and Google Sheets.

    Human Resources (20% of role)

    • Produce and track contracts
    • Timesheets tracking and backup using Quickbooks Time (online software)
    • Fundraising (5% of role)
    • Monthly participation in phonebanks
    • Summer and Year-end fundraising

    Other Organizational Operational Projects (10% of role)

    • In-person and online events logistics
    • Other projects as determined by supervisor and Director of Finance and Operations.

    Skills required:

    Detail oriented: Notices and fixes errors that others might overlook. Acknowledges mistakes and turns them into learning opportunities. Has a track record of leaving things better than they found them.

    Communication: Ability to communicate complex ideas in clear, concise terms (verbally and written). Able to communicate a variety of operations, finance, or other organizational information to staff, members, donors, or the general public. Must have a commitment to confidentiality and ability to exercise absolute discretion.

    Project Management: Ability to prioritize competing projects and multi-task across a broad spectrum of collaborators, based in various office locations or working remotely, without sacrificing quality. Able to work independently in a fast-paced environment, with a proactive approach. Has, or can create, a system for keeping tasks from slipping through the cracks. Plans backwards to make deadlines. Asks for help when needed.

    Relational: Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, members, donors, and the general public.

    Tech literacy: High level proficiency in Microsoft Office (Word, Excel, and PowerPoint), Asana, G-Suite (Gmail, Google Docs, Google Sheets, Drive, and Calendar), Zoom, and social media platforms; Proficiency in or ability to quickly learn EveryAction database. Can learn new software quickly and competently.

    Political Alignment: Demonstrated alignment with JVP and JVPA’s missions, and a strong investment in racial and social justice. Recognizes ways that race and other identities intersect in the work, especially within the Palestine movement and within Jewish communities.

    Depending on logistics and scheduling, our hiring process generally takes about 4-5 weeks from the job closing to a job offer. We let candidates know after each step in the process, once we’ve made a decision, whether they are moving forward to the next stage or not, so candidates know the status of their application.
