    Thirty-five percent of all food in the U.S. goes to waste, contributing significantly to environmental damage, with global food waste ranking as the third-largest source of greenhouse gas emissions behind the U.S. and China. Meanwhile, more than 20% of people in the Bay Area face food insecurity.

    ExtraFood's mission is to end hunger and wasted food in the Bay Area. We achieve this through our point-to-point food recovery program, where our staff drivers and volunteer Food Runners collect excess fresh food from businesses, schools, hospitals, and more, delivering it directly to food distribution partners, including homeless shelters, senior housing centers, and after-school programs. Additionally, our Gleaning and SOUPer Food Kitchen programs use surplus produce to create nutritious meals, feeding those in need year-round.

    With almost 14 million pounds of food rescued over the past 10+ years, ExtraFood has made a substantial impact. We are a leading force in transforming the Bay Area's food system from waste to abundance, building a sustainable, community-focused food recovery system.

    Position Summary:

    The Senior Operations Manager is a leadership role responsible for the day-to-day operations of the food recovery program as well ensuring efficient process flows, managing a team and achieving impact goals set by the organization. At ExtraFood, a small organization with a big impact, all staff take on both operational and managerial responsibilities within their role, e.g. we’re “do-ers” and “managers”. Reporting directly to the Director of Programs, the Senior Operations Manager will manage and refine ExtraFood’s food recovery programs, supervise the Operations team (including the Operations Coordinator, Food Donor Coordinator, and staff drivers), and provide strategic direction to further improve the operational aspects of the organization. The Senior Operations Manager will support the growth and innovation of the organization’s food recovery program, collaborating with stakeholders to ensure food reaches those who need it most. The role also includes overseeing the use of our technology platform (Salesforce), managing fleet logistics, and ensuring compliance with both operational standards and partner relationships. This role requires someone who is comfortable doing very detail orientated operations work to ensure coordination of food rescues while also possessing the skills to manage staff.

    This is a full-time, exempt position, hybrid home & Marin-based office, with the requirement to attend some in-person meetings & events. ExtraFood has implemented an optional 32 hour work week.

    Key Responsibilities:

    • Operations
      • In tandem with the Operations Coordinator ensure execution of the food rescue program, coordinating over 600 food deliveries per week.
      • Design and oversee continuous improvement processes, streamlining operations while maintaining a high standard of service.
      • Monitor food recovery best practices to identify new operational opportunities for growth, scalability, and efficiency.
    • Team Management
      • Supervise and mentor the Operations Coordinator, Food Recovery Drivers, and Food Donor Coordinator.
      • Manage training and performance evaluations.
      • Foster and maintain a culture of excellence, including systems to manage, monitor, and improve staff performance, volunteer engagement, and service delivery.
    • Food Rescue Program Oversight
      • Responsible for the daily operations of food rescue program. Responding to phone calls and texts from food donors, food recipients, and volunteers in a timely manner.
      • Ensure efficient use of staff drivers and volunteers, balancing workloads, maximizing route efficiency and resolving operational challenges.
      • Collaborate with the Director of Programs to ensure recipient partner sites are supported and food rescue quality is consistently high.
    • Technology & Data Management
      • Lead the continued implementation and improvement of ExtraFood’s technology platform (Salesforce), ensuring it aligns with operational needs and supports efficient food rescue operations.
      • Ensure food recipient data records in Salesforce are accurate and up to date.
      • Collaborate to identify and implement technology upgrades and process improvements.
    • Fleet & Logistics Management
      • Oversee the management and maintenance of ExtraFood’s fleet of vehicles, ensuring they are in safe, operational condition.
      • Develop policies and procedures for fleet use, including maintenance schedules, driver safety, key tracking.
    • Partner & Community Relations
      • Foster strong relationships with food donors, recipient partners, and other stakeholders, ensuring mutual understanding and collaboration.
      • Monitor and assess food recipient partner sites to ensure that ExtraFood’s guidelines are being met, food recipients needs are being met and that partnerships are aligned with organizational goals.
    • Compliance & Reporting
      • Pull Salesforce reports as requested for food recipients, and to inform process improvements.
      • Regularly report on operational KPIs, providing insights and recommendations for improving efficiency and impact.

    Qualifications:

    The Senior Operations Manager is responsible for leading a complex and highly impactful food recovery operation. As such, the following qualifications are essential:

    • Required Skills and Experience:
      • Passion for ExtraFood’s mission to end hunger and reduce food waste.
      • Proven experience in operations and operational management, preferably in a nonprofit organization.
      • Strong leadership abilities, with experience managing and developing a team.
      • Expertise in logistics, fleet management, and scheduling.
      • Highly proficient with technology, including MacOS, Salesforce, and CRM systems; ability to leverage technology to streamline operations.
      • Excellent problem-solving, communication, and organizational skills.
      • Strong interpersonal skills and the ability to build and maintain relationships with stakeholders.
      • Experience managing budgets and resources effectively.
      • Valid California driver’s license, car registration, and insurance.
      • Ability to lift and maneuver up to 25 lbs. safely.
      • Bachelor’s degree or equivalent experience.
    • Preferred Skills and Experience:
      • Experience in nonprofit management, particularly in food rescue, hunger relief, or environmental sustainability.
      • Familiarity with food safety guidelines and regulations.
      • Ability to speak Spanish
      • Experience in change management and leading process improvements.
      • Knowledge of local community organizations and food systems in the Bay Area.
