    We are seeking a self and mission-motivated individual to provide outstanding executive administrative support for the Office of the Director and Deputy Director for the National Institute of Diabetes and Digestive and Kidney Diseases (NIDDK) at the National Institutes of Health (NIH).

    The prospective candidate is well-organized, proactive, detail-oriented, efficient, and able to effectively prioritize work to meet competing deadlines. The applicant should possess superior interpersonal skills, and the ability to interact with individuals from diverse backgrounds, and varying professional levels.

    The permanent location of this position is the Bethesda campus of NIH. Telework may or may not be included, based on the office's current and future needs. Office hours are 8:30 a.m. - 5:00 p.m.

    Preferred Background

    • High level of interpersonal skills to work successfully and persuasively with a range of individuals.
    • Ability to prioritize competing deadlines and work in a dynamic environment.
    • Minimum of five (5) years of related experience.
    • Expertise with Microsoft Office Suite (MS Word, Excel, Outlook, PowerPoint).
    • Strong communications skills, both oral and written.
    • Excellent analytical, organizational and time management skills.

    Position Description - full-time, contract position

    • Significant experience coordinating and scheduling multiple conflicting calendars via Outlook. Prioritizing large numbers of emails and responding in a timely manner.
    • Work directly with and liaison between the Offices of the IC Director/Deputy Director, and other NIH staff to achieve organizational objectives.
    • Maintain a tickler file and conduct timely follow up on actions as necessary; prepare action item status reports for review with the IC Director/Deputy Director.
    • Independently manage and execute domestic and foreign travel arrangements for the IC Director/Deputy Director, with necessary hotel and transportation arrangements, preparing itineraries and necessary travel documents, including travel authorizations and travel vouchers.
    • Collaborate extensively with colleagues to coordinate, prepare and analyze a wide array of reports and administrative data.
    • Provide detailed review and editing of material, in advance of submission to the IC Director/Deputy Director, for approval and/or signature.
    • Prepare clear and concise responses to sensitive correspondence for signature by the IC Director/IC Deputy Director; fully address questions and inquiries from NIH and NIDDK staff in a timely manner.
    • Gather and analyze information about processes and programs; prepare reports, letters and other documents for review and input for programs, policies and activities.
    • Collaborate with NIH staff to prepare, organize, and distribute materials for use at scientific meetings, i.e. PowerPoint slides, Excel spreadsheets, charts and graphs.
    • Develop organized and well formatted spreadsheets to track administrative actions, and provide updates to colleagues and IC Director/Deputy Director.
    • Establish and maintain a variety of subject matter and correspondence files.
    • Greeting and welcoming guests and providing them with a positive first impression of the organization. Answer incoming calls, providing information, transferring calls and/or taking messages.
    • Maintain all aspects of confidentiality.
