    POSITION: Office Assistant

    TYPE: 1099 Independent Contractor

    COMPENSATION: $500 per week retainer for 20 hours per week (depending on experience and qualifications).

    LOCATION: Fully remote within the United States in the following states DC, IL, MD, VA (must be willing to work East Coast hours) and able to commit to being available at least 10am to 1pm Eastern Time (Washington, D.C. time) 4 days a week Monday through Thursday and 10am-12pm Eastern Time (Washington, D.C. time) Fridays though flex time is available.

    Start date: Flexible, but not later than May 12, 2025

    This is an opening for a part-time Office Assistant position. This is an intermediate position ideally suited for individuals with at least four years of relevant experience. This an independent contractor position.

    COMPENSATION

    This is a 1099 Independent Contractor position, compensated with a $500 per week retainer for 20 hours per week.

    ROLE AND RESPONSIBILITIES

    We are seeking a highly organized and detail-oriented Office Assistant to oversee the day-to-day administration and operations of our fully remote office. The ideal candidate will be a proactive problem solver, capable of managing administrative tasks, fostering a positive work environment, and ensuring the smooth functioning of the office. Additionally, the Office Assistant will liaison with external payroll, finance, and bookkeeping and other vendors.

    Primary responsibilities include:

    Administrative Management: 25%

    • Manage office operations, including digital files, directories, and file-sharing systems
    • Oversee mail distribution (electronic and physical), filing, and document management
    • Maintain and improve office procedures and internal policies
    • Coordinate calendars and schedule meetings across teams and with external partners
    • CRM data entry
    • Draft and update standard operating procedures (SOPs)
    • Support compliance tasks, including estimated tax payments, lobbying activity tracking, and quarterly tax documentation

    Communication and Coordination: 25%

    • Serve as a point of contact between employees & contractors and management.
    • Schedule and coordinate meetings
    • Communicate with external vendors and partners, including the accounting team, business development team, fractional CFO, and consultants.

    Business Development Support: 25%

    • Writing editing proposals utilizing existing templates, resources in collaboration with firm’s Principal
    • CRM tracking and updating state of proposals in business development pipeline
    • Updating and drafting MOUs using existing resources and templates in collaboration with Principal

    Human Resources Support: 10%

    • Manage and administer the firm’s processes and policies in regards to transition (in and out) of contractors, and employees, and vendors.
    • Assist with onboarding and offboarding processes, including paperwork, orientation, and training coordination.
    • Support HR activities, such as maintaining employee records, and liaison with third party payroll servicer.
    • Manage state employment registrations and de-registrations as part of contractor and staff transitions

    Technology Management: 15%

    • Basic troubleshooting of software, including Google administrator backend;
    • Updating Masa Group website (SquareSpace)

    This role does not include managing external vendors for payroll, expense tracking, invoicing, or reimbursements, nor does it involve supervising contractors or employees.

    EXPERIENCE AND QUALIFICATIONS

    • Proficient at utilizing:
      • Gmail
      • Google Calendar
      • Google Drive
      • Google Meets
      • Google Office Suite (Docs, Spreadsheets, Domains, and Forms)
      • Mail merge
      • SquareSpace
      • CRM software
    • General Requirements
      • Educational requirements
        • 2 or 4 year degree in operations, business, finance, accounting, communication, or a related field
        • High school diploma or associate’s degree with supplemental experience may be substituted in lieu of a bachelor’s degree
      • Applicants should be comfortable using language learning models (e.g., ChatGPT) to support administrative and operations work
      • Experience as an operations/administrative/finance associate preferred.
      • Experience with Google Sheets required; experience with Gusto (or similar software) is a plus.
      • Strong analytical and communication skills.
      • Ability to write clearly and help with word processing when necessary.
      • Ability to work well under limited supervision.
