    Description

    The Payroll & Benefits Manager will manage all aspects of payroll from time-keeping management to reporting payroll costs for grant & management reports. This role will also support benefits management for the organization. This role will be a member of the FRESHFARM Admin & Finance team and will report to the Controller. The individual in this role will need to manage the complex details of a dynamic non-profit organization.

    WHO YOU ARE:

    • Experienced payroll manager with 3 years of payroll experience at a medium-sized organization.
    • Preferred - non-profit professional with experience working with grants and finances
    • Proactive and analytical approach to problem solving
    • High level of integrity with keen judgment about when to escalate issues and questions
    • Experience with Quickbooks Time and Quickbooks Desktop for payroll preferred but not required

    WHAT YOU’LL DO: The Payroll & Benefits Manager will manage all aspects of payroll from time-keeping management to reporting payroll costs for grant & management reports. This role will also support benefits management for the organization.

    • Onboard new employees and supervisors to time-keeping systems
    • Manage timekeeping system to ensure timely employee submissions and supervisor approvals
    • Coordinate with admin & finance team to implement payroll changes as needed
    • On a weekly basis, process & submit payroll, including sending out paystubs, managing questions regarding pay stubs, and making corrections after payroll is reviewed
    • Ensure compliance of payroll & time off with internal FRESHFARM policies
    • Provide reporting on payroll costs to FRESHFARM leadership and auditors, as needed
    • Monthly, work with the Grants & Finance Manager to allocate all staff time to a funding source
    • Produce special salary reports as required by funders for invoicing and reporting
    • Onboard eligible staff to 403(b) Retirement Benefit and manage plan accounts, contributions, and compliance
    • Manage employee onboarding & enrollment in SmartBenefits transit benefits
    • Manage and process employee deductions for benefits enrollment (including transit benefits, healthcare, dental, vision, and retirement) alongside payroll processing
    • Periodically audit benefits deductions, contributions, and bills to ensure accuracy
    • Support, back-fill, and cross-train with other members of the finance & admin team as needed

    THE DETAILS:

    • This is a full time, exempt position and therefore is not eligible for overtime.
    • This role is compensated with an annual starting salary of $60,000-$70,000.
    • This employee will be expected to work five days of week during normal business hours, unless otherwise specified. This role will require occasional weekend hours.
      • Very occasional hours in earlier morning or evening may be needed to support employees who are only available at those times
    • This employee can primarily work remotely and/or in person; must be able to work from the FRESHFARM office for onboarding, generally on Mondays, in coordination with the HR department.
    • All full-time employees receive 11 annual holidays (8 hours each), 3 floating holidays per year, and accrue up to 73 hours of sick leave and 80 hours of annual vacation leave (with increases after 3 and 6 years of service). This role will also be eligible for 12 weeks of paid parental leave, 2 weeks of prenatal leave (through DC paid family leave), and 10 days of bereavement leave (as needed)
      • Typically, FF offices close for a 1 week winter break, including paid time-off for salaried employees.
    • This employee in this role will be eligible for enrollment in FRESHFARM’s benefits package, including 100% employer covered healthcare, in accordance with company policies, as well as generous employer coverage for vision and dental and employer paid short-term and long-term disability, life insurance, AD&D and an employee assistance program (EAP). Full-time employees are also eligible to enroll in FRESHFARM’s employee-sponsored 403b retirement plan
    • Eligible to contribute to a 403b plan (opt-in; Roth or post-tax).
