    Description

    The Mark Foundation for Cancer Research, a charitable organization based in New York City, actively partners with scientists worldwide to accelerate research that will transform cancer prevention, diagnosis, and treatment. Since 2017, The Mark Foundation has been awarded over $260 million in grants to investigators at more than one hundred academic institutions across sixteen countries, with research programs focusing on early career support, team science collaboration, new technology innovation, and therapeutics discovery. Additionally, The Mark Foundation maintains a growing portfolio of investments in early-stage cancer diagnostics and therapeutics companies, including several that have transitioned from grantee projects into commercial development.

    As the Foundation continues to scale, we are seeking to bring aboard a Grants & Data Operations Coordinator​ who is a motivated professional with strong organizational, administration, and data support skills. Reporting to the Director of Finance and Administration, this individual will work within a matrix team environment, collaborating with the scientific and administrative teams to manage project data, support grant operations, support the operational needs of its leadership team and ensure smooth organizational workflows. This role ensures that critical information is organized, accessible, and aligned with the Foundation’s strategic goals. The ideal candidate will be detail-oriented, able to manage multiple priorities independently, and comfortable working across all areas of the Foundation’s functions.

    Key Ares of Ownership:

    Grant & Information Systems Management (85%)

    • Organize, manage, and maintain databases containing application, grant, and investment data from multiple sources.
    • Import, reconcile, and validate complex data across multiple platforms to ensure accuracy and consistency.
    • Maintain data integrity within Microsoft Dynamics 365, ensuring proper mapping, documentation, and reporting of grants, reports, and investments.
    • Support the development and enhancement of dashboards, workflows, and CRM functionality to improve data management and reporting.
    • Track key funding, philanthropic gifts, and research milestones to ensure timely reporting and follow-up.
    • Assist in preparing proposals, donor reports, presentations, and impact summaries for research funding and investment initiatives.
    • Coordinate internal workflows to facilitate collaboration across teams and align fundraising efforts with programmatic goals.
    • Serve as a liaison between research teams, funders, donors, and internal stakeholders, ensuring effective communication and engagement.
    • Conduct prospect research and donor stewardship activities, maintaining records in CRM and preparing outreach materials.

    Office & Administrative Operations (15%)

    • Support office logistics, including ordering supplies, vendor management, and event planning.
    • Maintain key event data within Microsoft Dynamics 365 to ensure accurate tracking and reporting.
    • Manage purchases via AMEX procurement and oversee operational efficiency.
    • Coordinate onsite event logistics, including invitations, catering, and building access.
    • Handle ad hoc administrative tasks to support day-to-day office operations.
    • Manage complex scheduling and calendar coordination for leadership.
    • Assist with travel arrangements, meeting logistics, and expense tracking.
    • Prepare agendas, meeting materials, and follow-ups for leadership meetings.

    Qualifications & Skills for Success

    • Bachelor’s degree required, concentration or certification in data management, data analysis, or project management a plus.
    • Experience: 2-4 years in database management, project coordination, or operations support ideally within a research, nonprofit foundation, or academic setting.
    • Technical Skills:
      • Advanced skills in Microsoft Excel, Word, and PowerPoint.
    • Experience with project management tools such as Dynamics 365, Salesforce, or Jira.
    • Excellent organizational, communication, and writing skills with high attention to detail.
    • Ability to prioritize multiple tasks independently and thrive in a fast-paced environment.
    • Interest in biomedical science is advantageous.

    Compensation & Benefits

    • $90,000 - $110,000 per year (commensurate with experience and qualifications).
