    POSITION SUMMARY:

    The Executive Assistant (part time) will play a crucial role in ensuring smooth operation of executive and board functions. This role involves managing schedules, coordinating communications, handling confidential information, producing meeting materials and minutes, and assisting with various administrative tasks. The ideal candidate will be detail oriented, professional and highly organized. BSL is especially interested in candidates who can contribute to the diversity within our organization and assist in building an equitable and inclusive community.

    DUTIES AND RESPONSIBILITIES:

    • Manage CEO’s calendar and schedule and coordinate meetings for the Board of Directors.
    • Support correspondence, including emails and phone calls, on behalf of the CEO.
    • Draft, edit and proofread documents, presentations, and reports.
    • Prepare meeting materials and agendas, take meeting minutes, follow up on action items.
    • Maintain filing systems and ensure documents are organized and accessible.
    • Manage sensitive information with discretion and maintain confidentiality.
    • Provide support for occasional space rental events.
    • Order and distribute office supplies.
    • Sort and distribute staff mail.
    • Perform additional administrative duties as requested.

    QUALIFICATIONS AND SKILLS:

    • Minimum of two years experience in an executive assistant or similar administrative role.
    • Exceptional organizational and time management skills.
    • Strong written and verbal communication skills.
    • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
    • High level of discretion and professionalism.
