    Department: Gateway to Citizenship Initiative Department

    Reports to: Senior Immigration Analyst

    Job Location: Based in California (Remote or hybrid, depending on location of employee)

    Schedule: Monday to Friday 9:00AM to 5:30PM

    Starting Salary: $60,000 - $65,00.00 (Depending on experience)

    Description:

    The UDW Resource Center (URC) is a dynamic nonprofit workers center that provides organizing support, training and education with caregivers in the public and private sectors throughout California. URC is a space for these workers to organize themselves for better wages and working conditions, to change the care economy to benefit all Californians, and to organize for social, racial, and economic justice. We are dedicated to promoting the dignity and wellbeing of caregivers through leadership development, education, and material support such as food, housing, and healthcare. This program seeks a highly motivated individual to work in our Gateway to Citizenship Initiative that will help care workers apply for citizenship, residency, and employment authorization renewals. For more information about URC, please visit our website at www.udwresourcecenter.org.

    Duties and Responsibilities:

    • Provide and coordinate administrative support to the immigration department and team
    • Assist with department scheduling, including managing the department Zoom account, sending meeting invites, starting, and setting up meetings, and keeping track of important upcoming events and engagements.
    • Create and distribute meeting agendas and timely meeting notes for departmental meetings and other meetings as assigned.
    • Order materials and supplies for the immigration department, events and citizenship classes; track department inventory and request office supplies.
    • Assist with event planning, logistics, tracking event vendors, and other related projects. 
    • Arrange departmental travel, including completion of travel authorization forms, creating detailed travel itineraries, and processing the resulting expense reports
    • Attend and participate in meetings, assist in room preparation, agenda preparation, typing and distributing minutes, and execute follow up work from meetings.

    Required Qualifications:

    • High school diploma
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google for Nonprofits, and Zoom.

    Preferred Qualifications, Education and/or Experience:

    • Experience with event planning, scheduling, and managing logistics is highly desirable.
    • Familiarity with office management tasks, such as inventory tracking and supply ordering.
    • Ability to quickly learn new software and systems used within the department.
    • Strong verbal and written communication skills, with the ability to take meeting notes and prepare clear, concise agendas and reports
    • Ability to interact professionally with team members, members, and stakeholders
    • Exceptional organizational skills, with the ability to manage multiple tasks, prioritize effectively, and meet deadlines.
    • Collaborative team player with a positive attitude and strong problem-solving skills.
    • Excellent verbal and written communication skills, strong organizational skills, and attention to detail are essential.
    • Being a notary public is a plus
    • Fluency in English and in one or more of the following languages is required:
