FIA is looking for a dynamic Political Education Operations & Logistics Administrator to join our National and Regional Alliances Team. Be at the helm of our mission to strengthen alliances and promote our organisational culture and values.

    About the role:

    A member of the PE and GOS Team the role is responsible for facilitating the smooth operation of the team by providing comprehensive administrative and logistic support, supporting internal and external communication, and coordinating various activities and events. The role will support documentation and reporting, handling information requests, and communications support thereby contributing to the overall effectiveness and productivity of the PE+GOS team. The role supports the implementation of the vision and overall goal of developing and delivering a political education curriculum and programme across Asia, Africa, and Latin America.

    What you’ll do:

    CORE RESPONSIBILITIES:

    • Providing secretariat, communication and administrative support to the PE+GOS team
    • Supporting the communications requirements of the political education team by developing and implementing digital communication strategies Documentation and reporting
    • Providing support to the PE+GOS, handling information requests
    • Liaising with various functions within the PE+GOS team
    • Coordinating the PE+GOS team activities, events, meetings and providing administrative and logistic support
    • Contributes to the implementation of FIA’s mission and the political education and GOS planned strategies.
    • Coordinates and manages the PE and GOS team’s calendar, agenda and minutes for internal and external meetings.
    • Liaises with various functions within the PE+GOS team and other units to facilitate collaboration and information sharing.
    • Assists in the preparation of budgets, expense reports, and other financial documents for the team.
    • Handles special projects and ad-hoc tasks as assigned by team management.
    • Provides general administrative support, including documentation management, data entry, and office organisation for the PE + GOS team.
    • Maintains accurate records and documentation for the PE+GOS team, including meeting minutes, project files, and administrative documents.
    • Prepares and compiles reports, presentations, and data analysis as required by the team.
    • Identifies opportunities for process improvements and efficiency enhancements within the administrative and logistics functions.
    • Implements best practices and standard operating procedures to streamline workflows and optimize resource utilization.
    • Continuously monitor and evaluate the effectiveness of administrative processes and suggest improvements as needed.
    • Provides secretariat, communication and administrative support to the PE+GOS team.
    • Assists with internal and external communications regarding political education and GOS programmes.
    • Develop and execute social media strategies to promote political education campaigns and initiatives.
    • Create compelling and informative content (graphics, videos, posts, articles) for social media platforms and other digital channels.
    • Collaborate with the political education team to translate key messages and resources into accessible, shareable content.
    • Support the creation of newsletters, reports, and other communication materials as needed.
    • Assist in event promotion and coordinate social media coverage of online/offline activities.
    • Assists with communication and provides feedback to donors, potential participants, peers and alliance members on PE and GOS strategies and activities as requested by management.
    • Serves as the primary point of contact for internal communications for the PE+GOS team.
    • Coordinates team activities, events, and meetings, including venue booking, logistics arrangements, and agenda preparation.
    • Coordinates travel arrangements for team members.
    • Assists in the planning and execution of workshops, conferences, and other events organized by the PE+GOS team.

    What we’re looking for:

    • At least 3 years’ experience in administrative and logistics support roles, in a multi-country organisation or non-profit setting
    • At least 2 years’ experience as part of a multi-disciplinary team across regions, providing guidance and fostering a collaborative work environment.
    • Meeting preparation experience (including planning, logistics and minute-taking).
    • Event organising and budgeting experience (quotes, invoices, schedules, negotiation, conflict resolution, etc.)
    • Experience arranging travel (flights, accommodation, transport, etc.)
    • At least 2 years proven experience in social media management, content creation, or communications.
    • Able to thrive in an emergent and uncertain space, in a “start-up” organisation without all the systems, processes and support of a big NGO.

    • Excellent verbal and communication skills.
    • Completely fluent and strong in English. Preferably also fluent in at least one other language.

    • Excellent organisational planning and time management skills, with the ability to prioritize tasks and meet deadlines.
    • Strong communication skills, both written and verbal, with a keen attention to detail.
    • Strong understanding of political education and social justice issues.
    • Excellent written and verbal communication skills.
    • Ability to work collaboratively in a fast-paced, remote environment.
    • Proficiency in Microsoft Office suite and other relevant software applications.
    • Ability to work effectively both independently and as part of a team, with a proactive and collaborative approach.
    • Discretion and integrity in handling confidential information.
    • Flexibility and adaptability to changing priorities and requirements.
    • Project coordination skills
    • Meeting preparation experience (including logistics and minute-taking);
    • Experience arranging travel (flights, accommodation, transport, etc.);
    • Excellent IT skills, including experience with MS Office etc.

    Knowledge

    • Knowledge and understanding of international travel principles, immigration regulations and trends.
    • Knowledge in event planning and management
    • Awareness of innovative approaches and best practices in global education.
    • Knowledge of working with external stakeholders.

    Position type: One-year contract subject to renewal
