    ABOUT THE ROLE

    We are seeking a part-time Operations Assistant to support our organization. This role will help streamline our operations through administrative support to the Operations, Finance and Management teams and the Transform Board. The Operations Assistant will be expected to work Tuesday and Wednesday from our office in Oakland.

    Please be aware this role is currently funded through December 2025 and while there may be potential to extend the role, this is not yet guaranteed. The Operations Assistant will be responsible for some or all of the following:

    • Create and maintain efficient organizational systems, including hard copy files, calendars, and contacts
    • Assist with general office purchasing and supplies, processing mail, conference room calendar maintenance
    • Assist with expense reports and payroll processing
    • Administration and redirection of public inquiries
    • Support the Board of Directors: schedule meetings, coordinate logistics for meetings, develop agendas, work with staff to develop memos to the Board
    • Coordinate benefits open enrollment and assist with enrollment changes
    • Support the onboarding and offboarding transitioning staff
    • Staff meeting agenda management; collect agenda topics; calendar management; note taking
    • Assist with coordination of sublet tenants communications, facility requests, rental inquiries etc.
    • Administrative support for hiring teams by assisting with job postings
    • Administrative support to Operations Manager, Deputy Director, Development Director, and Executive Director as needed
    • Assist with additional projects as needed

    QUALIFICATIONS AND ATTRIBUTES

    • Professional experience providing administrative support (nonprofit experience a plus)
    • Demonstrated experience in operations, human resources or nonprofit finance
    • Proficient with Google Suite, MS Word and Excel
    • Experience with Salesforce and ClickUp is a plus
    • Strong written and verbal communications
    • Entrepreneurial, can-do attitude focused on problem-solving.
    • Spirit of collaboration and willingness to help others.
    • Commitment to environmental sustainability and social justice is highly desirable

    This is a part-time (15 - 22.5 hour/week), non-exempt position, based in our Downtown Oakland office. Candidates must be available in-office Tuesday or Wednesday, ideally both.Our staff is focused on making a positive change in the world and supports and values diversity.
