    Description

    THE OPPORTUNITY

    The Application Administrator role reports to the Data & Systems Director and is a member of the Operations team. The Application Administrator supports the WSOS team as owner of database design and data management for the organization’s relational, low-code scholarship database. The Application Administrator's primary responsibilities include: 1) designing and maintaining the organization’s scholarship database; 2) working closely with teams to identify and prioritize program needs; 3) creating technical and user documentation while providing user training; and 4) recommending and implementing solutions to improve data quality, enhance the user experience, and streamline reporting and business processes. The ideal candidate possesses the ability to collaborate with diverse people across multiple teams. This includes communicating proactively and clearly, prioritizing judiciously, and bringing a customer service focus to the work.

    The main WSOS office is in Seattle’s Mt. Baker neighborhood. Most staff work on a hybrid schedule, generally working from the WSOS office two days per week. This role is expected to be fully remote within Washington state with as-needed time in the office determined in collaboration with your supervisor.

    KEY ACCOUNTABILITIES

    • Take ownership of the architecture, design, data management, and ongoing enhancement of a relational, low-code scholarship database built in Caspio.
    • Independently gather requirements from staff to support program needs.
    • Create and maintain secure, user-friendly portals for internal and external stakeholders using a primarily drag-and-drop interface, with occasional use of HTML, JavaScript, and/or CSS.
    • Design efficient workflows and automations using basic SQL within a drag-and-drop interface.
    • Develop and optimize reports and dashboards in Caspio.
    • Maintain existing ETL (data extraction, transformation, and load) processes and create new ones as needed.
    • Create procedures, training materials, and program implementation documentation for users, as well as technical and system update documentation to support the organization's needs.
    • Provide training for new users on the scholarship database and offer sessions on updated features for existing users.
    • Oversee a help ticket system with an emphasis on customer service, offering staff support, and consulting on system enhancement requests.
    • Collaborate with external contractors to handle overflow work or implement database enhancements as needed.
