About Position: The Chief of Staff plays a pivotal role in supporting Encore’s Executive Director and Encore’s Board of Directors. The role supports strategy execution, governance, and executive leadership, working across the organization on cross-functional initiatives. This position requires a highly organized, proactive individual who can manage multiple responsibilities and projects, and who can balance details with broader trends and goals. This position supervises the Data Manager. This position will require 50% Leadership Facilitation & internal Strategy Execution; 40% governance, and 10% of other duties as assigned.
Responsibilities:
Strategic implementation
Lead cross-functional teams and support working groups to drive strategic plan execution;
Serve as a thought and accountability partner to the leadership team and foster an organization-wide culture of strategy ownership;
Facilitating decision-making, collective responsibility, and accountability.
Leadership Facilitation
Manage and facilitate leadership team meetings, including the preparation of agendas and materials;
Act as a proxy for the Executive Director where necessary, facilitating decisions that align with their vision.
Project Management
Identify and oversee special projects that align with the organization’s strategic goals and ensure timely and successful project completion.
Data supervision, research, and analysis
Supervise the Data Manager, ensuring the accurate collection, use and reporting of program data to support multiple aspects of the organization’s work, including strategy and board reporting;
Support data stewardship and reporting on strategic plans, providing insights and recommendations based on findings.
Executive Team
Responsible for the drafting agendas, tracking the status of action items and plans, and facilitating executive team conversations;
Serve as thought partner to the executive team, including on policy recommendations, timelines and orders of operation, and determining how decisions will be made.
Governance
Serve as appointed board secretary (officer of the corporation)
Maintaining corporate governance documents and policies.
Ensure appropriate levels of access to information and permanent retention of board records; manage director portal.
Serve as a liaison between the board and executive team, ensuring effective communication and follow-up on board decisions.
Serve as thought partner to the Executive Director on board matters, mapping out requirements, mechanisms, and decision points.
Work with counsel on audit and legal compliance matters, including resolutions, processes, and ensuring adherence to bylaws and best practices.
Oversee annual conflict of interest disclosures and liaise with finance on board-related items for fiscal year audits.
Prepare and distribute board meeting agendas, minutes, and materials.
Coordinate logistics for committee meetings, board meetings, and board retreats.
Plan fiscal year board meeting calendar.
Administration
Serve as strategic calendar manager for the Executive Director, with particular focus on helping the Executive Director think through the delegation of special projects;
Lead special projects and other items at the Executive Director’s request.
Required Qualifications:
Minimum of 5 years of experience in an executive support, strategy, legal or governance role. An ideal candidate may have experience in business and nonprofit sectors.;
Degree in business administration, Nonprofit Management, or a related field;
Astounding facilitative leadership and people management skills;
Strong organizational and project management skills;
Experience in strategy execution and reporting;
Excellent written and verbal communication abilities;
Ability to handle confidential information with discretion;
Ability to communicate the vision of the ED, representing his perspective on a variety of issues, and work with staff across the organization;
Must be proactive and self-motivated: Ability to anticipate needs and take initiative;
Strong desire to learn and grow;
Must be detail-oriented with a strong attention to detail and accuracy;
Ability to collaborate and work effectively with diverse teams and stakeholders;
Flexibility to manage multiple tasks and adapt to changing priorities;
Must have strong sense of humor;
Should have a personal commitment to Encore’s mission.
