    ABOUT THE INFORMATION TECHNOLOGY TEAM

    BEAM’s Information Technology (IT) team, a part of the Business Operations Division, is a new and growing team dedicated to advancing the organization's IT policies, procedures, and data security standards.

    To enable information technology to proceed effectively and securely, the IT Team places strong focus on effective communication, both written and verbal, and technical expertise in network security, systems administration, and troubleshooting. This approach ensures efficient operations, prompt resolution of technical issues, and adherence to best practices across IT infrastructure. Working collaboratively with all teams across BEAM, the IT Team ensures the optimal maintenance and management of BEAM’s cloud-based enterprise applications, driving efficiency, security, and reliability across all platforms.

    DESCRIPTION OF ROLE

    The Salesforce and IT Systems Manager will play a key role in advancing BEAM’s mission by optimizing the organization’s Salesforce platform to support data-driven decision-making and streamlined operations. This role will assess organizational needs, design and implement tailored Salesforce solutions, and provide ongoing support and training to maximize the platform’s impact. By collaborating with stakeholders across departments (e.g., Programs, Advancement, Learning & Evaluation), the Manager will deliver innovative solutions to system challenges, increase user adoption, and enhance workflows, ultimately empowering BEAM to better serve its community.

    With deep expertise in Salesforce—particularly Nonprofit Cloud—the Manager will bridge the gap between technical and non-technical stakeholders while understanding nonprofit operations and project management. Their work will ensure BEAM’s processes are scalable, efficient, and aligned with best practices, driving greater organizational effectiveness and enabling the organization to achieve its mission of creating pathways for underserved students in STEM.

    KEY DUTIES AND RESPONSIBILITIES:

    This role involves managing major system improvements along with training and routine maintenance. Therefore, responsibilities include but are not limited to systems management, project management, data analysis, and training:

    Salesforce System Management (50%)

    • Serve as the primary point of contact for all Salesforce related inquiries
    • Communicate complex business needs into clear, actionable systems requirements, research and evaluate alternative solutions
    • Manage a broad range of Salesforce tasks including configuration, customization, and implementation
    • Monitor system performance and troubleshoot issues as they arise
    • Conduct user training sessions and create documentation to improve user understanding of the platform
    • Manage user access and permissions to ensure compliance with company policies
    • Manage Salesforce sandbox environments for development, testing, and staging to ensure changes are thoroughly vetted before deployment to production
    • Identify unused or underutilized platform features to enhance productivity and efficiency
    • Monitor Salesforce data feeds and other integrations
    • Develop and maintain system documentation
    • Partner with stakeholders to ensure solutions meet business needs and requirements

    Project Management (20%)

    • Create detailed project documentation, including meeting minutes, progress reports, and status updates
    • Ensure that all project-related documents are organized and easily accessible
    • Ensure clear communication with relevant stakeholders as project needs change and/or new information is available
    • Support the prioritization of tasks based on project needs and deadlines
    • Identify potential delays and escalate them as needed to relevant stakeholders
    • Monitor potential risks and issues that could impact the project's success
    • Support the preparation of presentations and other materials needed for project reviews or stakeholder meetings.
    • Assist in managing relationships with stakeholders by keeping them informed about project status and updates.

    Technical Support (20%)

    • Stay informed about software updates and system developments to ensure the timely implementation of patches and upgrades to maintain optimal performance, security, and compliance.
    • Coordinate with the IT Director to ensure patches are applied promptly and correctly to maintain security and compatibility.
    • Perform periodic hardware checks and routine maintenance.
    • Assist and resolve end user technical issues.
    • Log issues and resolutions in Mojo Helpdesk ticketing system.

    Data Analysis (10%)

    • Evaluate internal systems for efficiency and inaccuracies, and develop and maintain protocols for handling, processing, and cleaning data
    • Collaborate with stakeholders to collect and analyze data utilizing existing systems
    • Perform data cleaning and scrubbing tasks to identify and correct errors, duplicates, and inconsistencies.
    • Standardize data formats and ensure adherence to data quality standards.
    • Support the creation, development, and maintenance of dashboards and reports to provide real-time data insights, enhance data visualization, and facilitate decision-making
    • Collaborate with stakeholders to understand reporting needs, ensuring that dashboards are user-friendly, accurate, and aligned with business goals.

    QUALIFICATIONS

    The ideal candidate has:

    • Minimum 3 years of experience as a Salesforce Administrator and/or business analyst
    • Minimum 2 years of project management and tech support experience
    • Demonstrated experience with Salesforce Program Management Module (PMM) and Nonprofit Cloud Case Management (NCCM)
    • Proven track record in designing and implementing new processes to drive user adoption and project success.
    • Deep understanding of Salesforce best practices, functionality, and project delivery.
    • Strong analytical and problem-solving skills, with the ability to translate complex requirements into actionable solutions.
    • Ability to handle multiple issues simultaneously while prioritizing critical problems.
    • Proven experience in developing and delivering training, with strong ability to adapt materials to various learning styles.
    • Proficient in Microsoft Excel, with demonstrated ability to use complex formulas, pivot tables, data visualization tools, etc. to clean, analyze, and interpret large datasets effectively.
    • Excellent communication and interpersonal skills, capable of effective collaboration across teams.
    • Self-motivated and adaptable, with a proactive approach to learning new technologies.
    • Proven analytical skills, including data collection and preparation, evaluation, and visualization.
    • Demonstrated ability to work independently and contribute effectively in a team environment.
    • Strong analytical skills to diagnose issues and determine appropriate solutions.

    Significant pluses may include:

    • Bachelor’s degree in Business, Computer Science or related field
    • Salesforce Certified Administrator and/or Salesforce Certified Business Analyst certification or equivalent experience
    • Demonstrated success in effectively collaborating with all levels of management
    • Familiarity with cybersecurity and compliance best practices (e.g., password policies, data protection).

    The salary range for this position is $70,000 - $94,000. This is a good faith anticipated range of the job, but the actual pay will be based on any applicant’s skill and experience.

    BEAM provides a number of benefits including:

    • Flexible working hours
    • Health, dental and vision benefits including health plan options that are free for individuals
    • 12 paid holidays including an office closure between Christmas Day and New Year’s Day
    • 15 days of paid annual leave to start, and will increase by one day for each year worked for your first 5 years of employment
    • Paid sick leave
    • 403(b) Retirement Plan
    • Student loan reimbursement
    • Pre-tax commuter benefits
