    Title: Manager, Operations

    Full-Time - Exempt-Salaried - Hybrid (1-2 days in office)

    Job Summary:

    The Manager, Operations will be responsible for managing day-to-day operational activities, ensuring efficient processes, and supporting organizational effectiveness to advance the nonprofit's mission.

    Key Duties & Responsibilities:

    • Administrative Operations
      • Maintain the ZERO office in Alexandria, VA
      • Serve as the phone services administrator
        • Serve as the first point of contact for the main phone line
        • Manage digital and cellular phone systems
      • Oversee shipping and receiving operations
        • Manage virtual mailbox receipt and distribution
        • Facilitate shipping and receiving to/from office and as needed for staff
      • Partner with the Finance Team to process incoming donations
      • Manage the Operations Team’s vendor relationships
      • Assist with the onboarding and offboarding of staff
      • Support events in the Alexandria/DC area as needed
      • Support additional operational and financial tasks as assigned
    • Compliance and Registrations
      • Coordinate with third-party vendors for state charitable registrations
      • Manage foreign entity registration requirements
      • Ensure timely completion of annual state filings
      • Maintain state sales tax exemption status across multiple jurisdictions
    • Operational Excellence
      • Assist with the development and implementation of operational policies and procedures
      • Lead process improvement initiatives
      • Create and maintain operational documentation
      • Develop and track operational metrics
      • Identify and implement cost savings initiatives

    Qualifications:

    • 5+ years experience working in nonprofit operations
    • Fluent working in Google Workspace
    • Advanced knowledge of working in spreadsheets
    • Experience working across different software platforms with strong technical learning capabilities
    • Working knowledge of the state charitable registration process
    • Working knowledge of filing for state sales tax-exempt status

    Physical Requirements:

    • Constant use of a computer and other office productivity equipment, such as computer printer, calculator, and copier.
    • Prolonged periods of a stationary position at least 50% of the time.
    • The ability to recognize details at close range for extended periods of time.
    • The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.

    This role will report directly to the Vice President, Operations and will work closely with the Operations Department to support ZERO’s mission to end prostate cancer.

    This hybrid position combines remote and in-office work, requiring 1-2 days per week at our Alexandria, VA office. Candidates must reside within commuting distance of our office location. The remaining workweek may be conducted remotely.
