    We are seeking a Human Resources (HR) Coordinator to support a variety of HR administrative functions. Under the supervision of the HR Manager, the ideal candidate is detail-oriented, highly organized, and has a strong understanding of payroll and HR administration. They have experience working with payroll software, demonstrate exceptional accuracy in data entry, and effectively manage multiple deadlines.

    This individual possesses a solid understanding of payroll tax laws, compliance, and reporting requirements while maintaining confidentiality and data integrity. They are an excellent communicator, capable of addressing employee inquiries professionally and promptly, and have strong problem-solving skills to resolve payroll discrepancies efficiently. A proactive learner, the ideal candidate stays up to date with industry best practices, legal requirements, and technological advancements, they will be able to work, collaboratively or independently, in an efficient manner to continuously enhance HR operations.

    ESSENTIAL DUTIES & RESPONSIBILITIES

    Payroll Processing and Administration:

    • Review time and attendance records (timesheets) on a daily basis and resolve any payroll discrepancies, including punch requests, throughout the pay period.
    • Prepare accurate and compliant semi-monthly payroll for final approval, guaranteeing correct employee compensation.
    • Calculate and process wage adjustments, bonuses, and overtime pay as directed by supervisor.
    • Ensure compliance with all payroll-related regulations and company policies including applicable state and federal laws and regulations, with a focus on California-specific requirements.
    • Ensure staff and management comply with time tracking procedures, such as live punches and 100% time card approvals by staff and supervisors.
    • Maintain payroll records, including tax documents, garnishments, payroll adjustments, and direct deposit information.
    • Develop and implement strategies for efficient payroll management.
    • Have knowledge of labor laws, including FLSA, IRS regulations, and other state/federal guideline requirements related to payroll processing.
    • Assist with the year-end process, including W-2 forms, and other payroll related tax documents.
    • Stay updated on payroll legislations and ensure organizational policies are in alignment with current regulations.
    • Reconcile payroll records, and tax withholdings.
    • Perform regular monthly audits of payroll data and records to ensure accuracy and compliance in collaboration with HR Manager and Director of Finance and Operations.

    Employee Communication and Support:

    • Serve as the point of contact for payroll database and pay check inquiries from employees, such as: resetting employee access to HRIS platform; resolving payroll discrepancies promptly; ensuring interactions are helpful, positive and authentic.
    • Assist with conducting employee training on payroll and other relevant policies as needed.
    • Collaborate with finance, and other departments to ensure HR data integrity and compliance.
    • Support with personnel transactions such as reference checks, hiring, promotions, transfers, performance reviews, and terminations, and employee statistics for government and insurance reporting.
    • Support with onboarding and offboarding, ensuring overall compliance.
    • Participates in staff meetings and attends other meetings, such as seminars, trainings and organizational HR studies.
    • Supports staff goodwill functions and holidays; leads birthday and anniversary celebrations, and supports annual holiday party execution, etc.

    Miscellaneous

    • Other relevant departmental duties as assigned.

    QUALIFICATIONS, TRAITS AND CHARACTERISTICS DESIRED

    • Bachelor's degree in related field or equivalent experience required.
    • Minimum of 2-3 years of progressive experience in payroll preferred.
    • Proficiency in HRIS database management and payroll processing, with experience with Paycom preferred.
    • Exceptional attention to detail, ensuring accuracy and thoroughness in all aspects of work.
    • Strong administrative and problem-solving abilities.
    • Excellent organizational skills with the ability to manage multiple tasks and deadlines.
    • Proficiency in Google Workspace (Docs, Sheets, Slides, Drive, etc) and Microsoft Office Suite, especially Excel.
    • Proficiency in collecting, structuring, analyzing, and reporting on HR data.
    • Excellent communication skills, both written and verbal, to liaise with various stakeholders including, but not limited to, employees, management, and outside vendors.
    • Ability to handle sensitive and confidential information with the utmost discretion.
    • Ability to work effectively both independently and as a collaborative team player, engaging seamlessly with HR, finance, and other departments.
    • Strong self-motivation and self-learning abilities.
