    Job Title: Senior Administrator

    Organization: Global Exchange

    Location: San Francisco, CA (Remote work possible)

    Employment Type: Part-time, Exempt (60% time – 24 hours/week)

    Compensation: Based on 60% FTE of $60,000 - $70,000

    Position Summary

    The Senior Administrator will play a pivotal role in managing complex projects that align with our social justice mission. This role requires a strategic thinker who can help prioritize project execution, assist in coordinating a small but dedicated team, and ensure compliance with all legal and administrative requirements.

    The ideal candidate will have experience in nonprofit administration, a deep understanding of social justice issues, and the ability to navigate the challenges of a small, resourceful organization. The Senior Administrator reports to Global Exchange’s three Co-Executive Directors.

    Excellent communication skills, flexibility, and attention to detail are essential.

    Key Responsibilities:

    Project Management

    • Coordinate the planning, execution, and completion of projects that advance our mission and social justice goals.
    • Coordinate across departments to ensure seamless project implementation.
    • Monitor project progress, budget, and timeline; communicate with directors about adjustments as needed to meet goals.
    • Facilitate and ensure communication among team members, stakeholders, and partners.
    • Communicate regularly with contract staff and stakeholders regarding invoicing and reporting.
    • Communicate regularly with approximately 10 Fiscally Sponsored Projects (FSP) leads and support administrative staff regarding documentation and grants.

    Team Leadership

    • Help foster a collaborative and motivated work environment.
    • Document responsibilities and ensure team members are equipped to meet their objectives.
    • Create processes to provide regular feedback, direction, agreement, and accountability.

    Administrative Oversight

    • Manage day-to-day administrative tasks, including budgets, reporting, and compliance.
    • Support grant application processes and reporting in coordination with the Development Director.
    • Track and report on organizational lobbying activities.

    Legal Oversight

    • Engage legal counsel when needed to ensure all projects and initiatives are legally sound.
    • Review contracts, agreements, and other legal documents to protect the organization's interests.
    • Ensure compliance with labor laws, nonprofit regulations, and other relevant legal standards.

    Strategic Planning

    • Collaborate with Co-Directors on long-term strategic planning and resource allocation.
    • Identify growth opportunities, partnerships, and innovative approaches in social justice work.

    Qualifications

    • Experience in nonprofit management, public administration, social justice, or a related field; must also be willing to take on mundane record-keeping tasks.
    • Minimum of 2–5 years of experience in project management or administration within a nonprofit or social justice setting.
    • Strong understanding of social justice issues and commitment to the organization’s mission.
    • Experience with legal and administrative oversight in a nonprofit context.
    • Proven ability to manage complex projects, including budget oversight and team coordination.
    • Excellent communication, leadership, and organizational skills.
    • Ability to work independently and track multiple tasks.
    • Familiarity with grant writing, major donor cultivation, and reporting is a plus.
    • Proficiency and comfort in a primarily internet-based communication and meeting environment.
    • Spanish-language proficiency is a plus.
