    Description

    THE POSITION

    The Event Manager is responsible for managing and executing the strategy of CSFP events, including but not limited to; marketing/revenue generating events, donor cultivation events, and family/programming events. The Event Manager coordinates event logistics, works within established budgets, and leads vendor identification and management. The successful candidate will have the ability to provide strategic planning, financial analysis and logistical support on events from inception to completion. The position has cross-department functionality and accountability, requiring the coordination of various stakeholders including staff, Board, executive volunteers and vendors. The ability to multi-task and manage several high-level projects simultaneously is mandatory.

    ROLES AND RESPONSIBILITIES

    • Serve as the primary event coordinator and manager providing continuity, direction, and guidance on all matters pertaining to CSFP’s special events; including but not limited to Lottery Day(s), Family engagement events like the end-of-school year celebration, new family day, and family fun days, as well as fundraising events and galas.
    • Under the guidance of the Director of Marketing & Communications and in collaboration with internal stakeholders, develop and implement unique strategies related to special events including those that are intended to increase scholarship applications and organizational visibility, support family engagement, fundraise, and engage prospective donors and community influencers.
    • Execute all special event logistics such as coordination of invitation design, printing and mailing, tracking RSVPs, providing catering, music, photographers, and any other special needs as appropriate.
    • Work collaboratively with CSFP staff to determine event goals and objectives, engage staff members in event execution.
    • Under the guidance of the Director of Marketing & Communications – research and source materials that will be used for marketing at events including swag and signage.
    • Prep materials for events that CSFP part time Outreach Associates staff
    • Manage RSVPs for events and provide database management, ensure payments and receivables are processed in a timely manner.
    • Participate in project team conference calls and meetings.
    • Coordinate after action reports and tasks to completion and ensure that special events data is successfully transferred to the organization.
    • Provide detailed progress reports to internal and external stakeholders when necessary.
    • Additional tasks and responsibilities as assigned by the Director of Marketing & Communications.

    QUALIFICATIONS

    • Bachelor’s degree required.
    • Two-five years of medium- to large-scale event coordination experience including working with vendors and executive level volunteers, preferably in a non-profit setting.
    • Demonstrated track record of excellent organizational skills, detail-oriented thinking and strategic decision making
    • Superb written communication and interpersonal skills
    • Strong knowledge and use of the Adobe Creative Suite (Photoshop, Illustrator, InDesign) and/or Canva Pro, Outlook and Microsoft word platforms, Asana, WordPress, social media tools, Google analytics, and online email platforms such as Constant Contact.
    • Ability to effectively manage several projects simultaneously and work well under pressure and with deadlines.
    • Excellent time management skills
    • Availability to work off-hours shifts or events as required

    WORK ENVIRONMENT/PHYSICAL REQUIREMENTS

    Certain abilities to physically perform the duties and to work in the environmental conditions are required, such as:

    • Must be able to travel—valid driver’s license and/or access to transportation when necessary required
    • Must be able to sit for extended periods of time at a computer
    • Must be able to maneuver in an office space, including reaching file cabinets, filing, faxing, scanning, copying, typing, mailing, and making phone calls
    • Must be able to support event setup and breakdown which includes lifting up to 35 pounds, bending, reaching, climbing, and standing
    • CSFP operates in a hybrid working environment, with two days per week required in the office
