    Administrative Assistant & Receptionist

    Position type: Part time salaried, non-exempt

    Schedule: 15 hours per week, Monday-Thursday

    Compensation: $17,097.98/year

    Supervisor: Lead Pastor and Executive Director

    The Center Philadelphia is the non-profit organization of Arch Street UMC. Arch Street UMC is a Sanctuary Church, a Justice-Seeking Congregation and a Reconciling Congregation committed to grassroots faith-based movements for social change. This position is an on-site visible and welcoming presence, meant to support the administrative needs of and to ensure that Arch Street UMC and the Center-Philadelphia function as effectively and efficiently as possible.

    Responsibilities:

    Administration

    • Order, track, and distribute all supplies, in coordination with the Program Director, taking responsibility for modifying and proposing new systems for the sake of efficiency.
    • Track incoming bills via email and mail, distributing to appropriate staff or volunteers for payment, and file all bills appropriately.
    • Reconcile all credit card purchases.
    • Process and enter weekly donations into our online platform (NeonOne), in coordination with the ASUMC Treasurer.
    • Track and respond to space use requests.

    Worship

    • Generate and prepare the weekly worship bulletin with information from the Lead Pastor and Director of Congregational and Community Development.

    Communications

    • Answer the phone and route calls as appropriate and respond to voicemail messages.
    • Generate flyers, posters and banners to promote upcoming events.
    • Generate signage and print resource sheets for Daytime Services.
    • Generate weekly e-blasts with the Director of Congregational Development.
    • Receive and respond to mail, emails, and phone messages in a timely manner, distributing messages/items to persons as appropriate.
    • Notify the clergy/deaconess when critical information is received including deaths, hospitalizations, surgeries, serious accidents, births, etc.
    • Print and prepare mailings as needed.
    • Receive members and guests in a professional manner, providing information and support as needed.

    Daytime Services Support

    • Serve as a member of the team that provides rotating coverage for program staff in the drop in center during lunch breaks and code blue services.
    • Assist program staff with HMIS data entry, intake, and appointment scheduling as needed.

    Other Duties as assigned

    • Other relevant duties as needed to support the mission and efficient operation of ASUMC and The Center.

    Qualifications & Experience

    • Strong listening and interpersonal skills, and effective problem-solving skills.
    • Close attention to detail, organized, and able to manage multiple, simultaneous projects and deadlines with a high level of independence.
    • This position serves a diverse group of individuals with a high standard of care.
    • Strong computer literacy, including advanced proficiency in office software, online platforms, and digital tools.
    • Experience with Google Suite (Google Docs, Sheets, Forms, etc…), Zoom and social media platforms.
    • Experience working in an office environment with preference given for experience working in a faith community.
    • All staff are required to complete a Child Abuse, Criminal Background Check and FBI Background Check prior to the start of employment, and each year thereafter.

    Physical Requirements

    • Prolonged periods sitting at a desk and working on a computer.
    • Must be able to lift up to 15 pounds at times. Reasonable accommodations can be made for physical requirements.
    • All staff are required to be fully vaccinated for the virus known as Covid-19 prior to the start of employment.

    Arch Street UMC offers 2 weeks of paid vacation, 10 paid holidays, 2 flex days, and 5 paid sick days a year along with a $2448 annual health stipend paid bi-monthly. Arch Street UMC does not participate in the Pennsylvania Unemployment Compensation program.
