    Description

    Summary:

    Voto Latino (VL) is seeking an experienced administrative professional for an Executive Assistant position. This individual will assist the President and CEO in her daily work, including scheduling, researching, and executing other duties as assigned. The ideal candidate should have experience in scheduling and exercising discretion. The Executive Assistant will report directly to the President & CEO.

    Responsibilities:

    • Calendar Management: Handle the President & CEO’s daily calendar, coordinating all meetings and conference calls with internal staff and external contacts. This is a significant aspect of the EA role.
    • Preparation of Materials: Assist with preparation of briefing materials and memos for events, speaking engagements, and TV appearances for the President & CEO.
    • Daily Reporting: Work closely with VL staff to compile daily reports for the President & CEO.
    • Travel Coordination: Coordinate speaking engagements and plan business trips including making all travel arrangements, preparing itineraries, and processing and reconciling all travel expenses.
    • Prioritization: Prioritize conflicting needs by handling matters expeditiously and proactively; ensure follow-through on projects and assignments to successful completion under tight deadlines.
    • Follow-Up: Ensure all follow-up actions from the Office of the President are completed in a timely and professional manner; including internal and external stakeholders. Intern Hiring: Oversee the hiring of interns/fellows for the Office of the President. Coordinate their professional development for the organization.
    • Perform other duties as assigned.

    Requirements:

    • Bachelor’s Degree (4-year college degree)
    • 4+ years’ experience working as an assistant or scheduler
    • Ability to interact professionally with industry leaders and executives
    • Exercise discretion with sensitive information
    • Strong written and verbal communication skills.
    • Proven ability to meet deadlines in a fast-paced environment
    • Ability to work individually and in a team environment
    • Be a strong self-starter who is highly organized
    • Consistent record of juggling multiple tasks
    • Demonstrated commitment to and awareness of Latino civil rights and/or issues of social justice

    Salary & Benefits:

    Salary range is $65,000-$75,000 annually. Voto Latino also offers competitive benefits, including health insurance, and vacation leave.
