    Description

    Administrative Assistant/ Administrative Coordinator- Bilingual Spanish

    ESSENTIAL FUNCTIONS:

    • Supports all staff in assigned project-based work for the designated division.
    • Prepare, create, process and track invoices, ensuring proper coding and approval for submission.
    • Prepare & package training/meetings/implementation materials for departmental events as needed.
    • Makes travel arrangements including conference registrations, and lodging as required for the department.
    • The Administrative Assistant/ Administrative Coordinator will also process orders for weekly advertisements and ensure proper execution of sales contracts in coordination with the team.
    • Creates and modifies documents and spreadsheets using Microsoft Office & other tools.
    • Maintains hard copies and electronic filing systems.
    • Researches and obtains quotes for approval, and purchases supplies for the department.
    • Process & inventory materials requested by staff.
    • Responsible for set-up and coordination of departmental meetings, including minutes.
    • Other administrative duties as assigned.

    QUALIFICATIONS:

    • Associates degree from an accredited college or university. Bachelor's degree preferred.
    • Must have at least two years of experience.
    • Excellent email communication and organization is a must.
    • Experience with Microsoft Office, excel, including Teams and telephone protocol.
    • Spanish and English language written and verbal proficiency
