    OneWorld Now! (OWN) is a nonprofit with over 20 years of experience providing inclusive and accessible international education for high school students. As part of our after-school or summer program, students can earn high school world language and elective credit by studying Korean, Mandarin Chinese, Arabic, or Russian. They can also opt to participate in credit-bearing Leadership workshops and apply to study abroad in a range of countries.

    OWN prioritizes the determined high school students who are historically marginalized by education systems, especially those coming from communities of color, communities new to the U.S., and communities facing economic hardship.     About the Role

    OneWorld Now! is seeking an energetic, organized, and dedicated individual to join our team as an Program Operations Manager. This position will oversee a range of operational and administrative tasks in support of our programs.     Minimum requirements:

    • High level of comfort with a range of technology platforms (including Google Docs, Google Sheets, and databases/CRMs), and ability to learn new platforms quickly
    • Demonstrated experience in developing new systems to improve workflows and organizational efficiency
    • Previous experience with project management and project management software such as Monday.com or Asana
    • Strong organizational skills and attention to detail
    • Experience performing administrative tasks such as managing databases, working in spreadsheets, and providing customer service
    • Effective time management and organizational skills, with ability to prioritize and multitask
    • Willing and able to use flexible and culturally relevant strategies to reach out to communities and individuals with differing communication styles and needs
    • Committed to racial, social, and economic justice; familiarity with or interest in anti-racism and anti-oppression work
    • Ability to work successfully independently and as part of a team
    • Adaptable and open to feedback, learning, and growth
    • Excellent communication skills
    • Be legally authorized to work in the US

    Preferred characteristics:

    The ideal candidate will possess some or all of the following characteristics:

    • Familiarity with or experience working with the diverse communities of the Puget Sound region, especially youth, families, and communities impacted by systemic racism
    • Ability and willingness to communicate at the intermediate level or above in Somali, Amharic, Vietnamese, Cantonese, or another language commonly spoken among immigrant communities in the Puget Sound region
    • Understand the importance of youth development work in creating positive social change

    Duties:

    Program Operations (45%)

    • Manage online student information system (including registration, enrollment, and billing) to ensure smooth running of our programs
    • Manage a range of financial operations, including tuition collection, bill payment, reimbursements, and sending tuition payment information to bookkeeper/accountant
    • Manage general organizational email inbox (info@oneworldnow.org)
    • Track student progress towards receiving credit, including monitoring attendance records, and communicating with teachers, students, families, and peer tutors
    • Prepare and send transcripts at the end of first semester, second semester, and summer sessions
    • Assist all staff with event planning and logistics (orientations, fundraising events, etc.)
    • Assist with program recruitment
    • Oversee operations of OneWorld Now’s annual summer program
    • Collaborate with program managers and directors to improve their ability to manage resources, measure impact, and scale programs effectively

    Organizational Operations (35%)

    • Review staff timesheets and coordinate with bookkeeper/accountant to ensure on-time payroll
    • Create documentation on standard procedures for various platforms and processes to support teachers, staff, students, parents/guardians
    • Identify gaps and areas of improvement to make systems more efficient
    • Perform analysis on program survey data, providing recommendations on how programs can improve
    • Build an operations handbook for the organization
    • Assist Executive Director with tracking progress on the organization’s strategic plan

    Other Administrative Tasks (20%)

    • Support in hiring and onboarding, including tracking paperwork, administering background checks, and training new staff members in organizational systems
    • Assist with onboarding of new staff members
    • Collaborate with Executive Director to update employee handbook
    • Manage supply orders and reimbursements
    • Check Post Office box
    • Perform other administrative duties that assist in the smooth running of OneWorld Now!

    Compensation, hours, and benefits: This is a full-time (40 hours/week), non-exempt position at a salary of $53,000-$55,000 annually, depending on experience (with an annual COLA increase). Occasional evening or weekend work may be required to support events. Generous benefits package with health insurance (medical, dental, and vision, with 100% employer contribution), retirement, and paid time off policy (beginning with three weeks per year plus two weeks of paid office closure).

    Location: 610 Maynard Ave S, Seattle WA 98104. Applicants must be based in the greater Seattle area. OneWorld Now is a hybrid workplace, with employees having flexibility about whether to work from the office or from home. For this position, we anticipate a need to be in the office at least two days per week.
