    East Bay residents by providing a variety of bicycle education services and education programs

    Position Summary

    The purpose of this position is to bottomline all matters relating to the operations of our organization. The primary roles and responsibilities include organizing and facilitating Staff Collective meetings, including maintaining our Meetings calendar, agendas, tasks, and notes. The Operations Generalist is the point person for recruitment and engagement of our board members. In addition to overseeing staff members, this position will lead operational efforts relating to strategic planning, events planning, facilities relationships, and IT infrastructure.

    Requirements

    • Timely and adequate communications, especially with email and other virtual platforms
    • Experience facilitating organizational-wide meetings
    • Ability to train other staff members to lead and facilitate team meetings
    • Project Management and Task Delegation
    • Highly organized, detailed oriented/thorough, and multi-task driven
    • Kind and emphatic nature at providing and receiving feedback
    • High level of accountability and ownership over tasks and deliverables
    • Anti-Oppression theory, strategy & practice with a deep understanding of systemic barriers
    • Familiarity with bookkeeping and understanding of basic accounting processes
    • Comfortable with various technological tools and resources
    • Local to the East Bay (preference for candidates living in Oakland, CA)
    • Must be able to plan and facilitate for Staff Collective meetings, which happen twice each month (one virtual and one in-person)
    • Must be able to work 1-2 evenings a week and the occasional weekend

    Responsibilities

    Essential Functions

    • Develop and maintain organizational structure, including meetings for Staff Collective, board members, committees, and programs
    • Recruit and engage board members
    • Maintain and organize internal IT infrastructure, including keeping a neat and organized shares Google Drive
    • Ensure accurate record keeping of meeting minutes and bylaws
    • Plan annual team building events and staff gatherings
    • Facilitate and oversee staff trainings
    • Remind staff about meetings, track and review fulfillment of attendance agreements
    • Organize retreats and strategic planning sessions
    • Support with programmatic expansion efforts, as needed
    • Design peer review forms and client review forms
    • Collaborate with HR to oversee employee evaluations and handbook updates
    • Train volunteers, in collaboration with our community Bike Shop, the Bikery

    Work Tasks

    • BOARD RELATIONS
      • Recruitment of board members
      • Conduct outreach and informational interviews
      • Review applications and escalate to the Board of Directors & Staff Collective
      • Monitor & Enforce Term Limits
      • Maintain Board Bylaws and other governance documents
      • Collect minutes and maintain detailed notes from meetings and discussions
      • Collect all board documents and organize within shared Drive folder
      • Schedule and calendar board meetings
    • ORGANIZATIONAL OPERATIONS
      • Coordinate and facilitate Staff Collective meetings, including agendas, notes, calendars, and tasks-delegation
      • Onboarding - conduct orientation & training and provide ongoing support
      • Support task coordination among the Board of Directors, Finance Committee, Human Resources Committee, and Public Relations and Fundraising Committee
      • Schedule & Plan Meetings & Activities, Annual Retreats, and quarterly community events
      • Maintain Staff Handbook (collaboration with HR), Board Bylaws, and other governance documents
      • Represent Cycles of Change regarding rental space for our building and office space, which includes community bike shop, the Bikery
    • STRATEGIC PLANNING
      • Oversee Annual Budgeting for Operations Committee
      • Compile Communications & Reports
        • Clear spoken and written communication
        • Produce clear reference material & data visualizations (charts & graphs)
      • Logic Models, Feedback Loops, Program Evaluations
      • Work Plans, Propose Restructurings & Reassignments
    • IT INFRASTRUCTURE
      • System Administration
        • Spec, purchase, install, integrate, automate, monitor, and update software, firmware & hardware

    Compensation

    • The pay rate for this position is $31.18 per hour.
    • Starting part-time, 20-25 hours per week, with potential for more hours. This position will have the support of two members on the Operations Committee.
    • Flexible work schedule and hours.
    • Potential to qualify for health plans through Kaiser.
    • Monthly tech stipend.

    Working Conditions

    Schedule & Location

    This is a hybrid role with the primary work location being in Oakland, California. The Operations Generalist should expect to work approximately 20-25 hours a week, with room for flexibility from week-to-week. Most of the work can be done remotely. The Operations Generalist must have reliable transportation, as they will need to plan and facilitate in-person meetings at least twice a month. There will be some evenings and weekends in which in-person work will be necessary.

    Supervisory Responsibility

    Cycles of Change is a collective, which means our organization is not set up with traditional management structures. The Operations Generalist will be the bottom-liner of the Operations Committee. The committee meets weekly to review notes, assign and complete tasks, and work on updates to report to the Staff Collective. The Staff Collective serves as the decision-making body of the organization. The Operations Generalist will plan and facilitate Staff Collective meetings. After their probationary period, the Operations Generalist will be asked to join the Staff Collective.

    Physical Demands

    For in-person meetings and community events, there will be the occasional need for the Operations Generalist to be able to lift and transport heavy equipment, such as bikes, tools, boxes, etc. While it is not a requirement that the Operations Generalist can ride a bike, we will ask for their participation in our community rides and fundraising, outreach, and educational events.

    Start Date

    We will review applications on a rolling basis until March 14th, 2025. We hope to fill the role by April 7th, 2025.
