    Description

    The Program Services & Logistics Coordinator reports directly to TUWU Associate Director to support the efficient operations of our organizing work. This role is essential in ensuring seamless administrative processes, logistical coordination, and operational support. The ideal candidate will be proactive, resourceful, and skilled in multitasking within a fast-paced environment.

    • Oversee and manage daily administrative operations, ensuring efficiency and effectiveness.
    • Coordinate logistics for meetings, events, and travel arrangements for staff and stakeholders.
    • Maintain organized records and documentation, ensuring compliance with government and organizational policies.
    • Serve as the point of contact for vendors, suppliers, and service providers.
    • Support budgeting and expense tracking related to logistics and operations.
    • Assist with procurement and inventory management of office supplies and equipment.
    • Develop and implement administrative systems to improve workflow and efficiency. Provide general support to staff, including scheduling, correspondence, and data entry.
    • Ensure smooth communication between organizing team and external partners.
    • Manage TUWU’s reporting on government contracts, which requires overseeing reporting requirements, deadlines, and communicating with staff and organizations (some of whom are monolingual Spanish speakers) to ensure timely and accurate reports.
    • Furnish data and information based on reports needed.
    • Translate materials from English to Spanish and provide interpretation from Spanish to English on an as-needed basis or coordinate interpretation efforts.
    • Willing to work some nights and weekends for programming purposes.

    Required Qualifications:

    • Bachelor's degree or relevant work administrative experience.
    • Minimum of 1-2 years of experience in administrative and logistical coordination.
    • Bilingual in Spanish and English (spoken and written) required.
    • Strong organizational and problem-solving skills.

    Preferred Qualifications:

    • Excellent verbal and written communication skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Productivity Suite (Google Cal, Google Docs, Google Sheets, Google Forms), and project management tools.
    • Ability to manage multiple tasks and prioritize effectively.
    • Ability to work independently while also being a team player.
    • Experience working in nonprofit, advocacy, or mission-driven organizations is a plus.

    Work Environment / Physical Demands

    This position will work out of San Francisco; Able to work on a computer including sitting at a desk for extended periods of time with or without reasonable accommodation; manual dexterity to operate a keyboard; able to see or read a computer screen and printed material with or without vision aids; able to speak clearly and in audible tones on the phone and in-person and be understood by others; able to hear and understand speech, including on the phone; able to understand and follow oral and written instructions; able to occasionally lift objects weighing up to 20 pounds, etc. Able to walk, drive, write, stand, and sit.
