    Advokids is the only non-profit legal advocacy organization in California dedicated to securing the safety and well-being of children and youth in the foster care system. We provide the only free statewide legal services, legal trainings and online child welfare legal library for anyone concerned about a child in foster care or at risk of entering care. We advocate for systemic reform of the child welfare system to benefit all children in the state.

    Job Purpose

    The Intake and Administrative Specialist reports to the Hotline Staff Supervising Attorney while providing general administrative support for executive management and staff. The person in this role serves as Advokids’ Hotline Intake Specialist, our first point of contact for our Hotline callers, who are concerned adults seeking to advocate for a child in foster care or at risk of entering care. The Intake and Administrative Specialist also coordinates and supports all office systems and implementation functions.

    Duties & Responsibilities

    • Primary point of contact for Advokids’ Child Welfare Hotline intake and initial case management
    • Conducts all initial client screenings and “intake” interviews
    • Responsible for tasking cases to Staff Attorneys
    • Enters all new cases into Salesforce and prepares and distributes Hotline data reporting
    • Processes training invoices and enters into Salesforce
    • Provides Salesforce Database Administration support
    • Coordinates with IT consultant to implement Salesforce upgrades and reporting
    • Sets up, distributes and compiles surveys to constituents
    • Provides general administrative support and office operations:
      • Answers main Advokids line and answers questions/directs calls as necessary
      • Coordinates weekly staff meetings
      • Provides support on purchasing, printing, filing, copying and meeting notes
      • Handles inquiries efficiently and follows-through on tasks to completion
      • Assists with onboarding new staff and setting up necessary accounts and technology

    Qualifications

    • Experience working and communicating effectively with people from diverse backgrounds
    • Self-starter and proactive problem solver
    • Experience using Microsoft Office, Adobe, Google Suites, Salesforce, Zoom, and survey platforms (SurveyMonkey)
    • Strong written and verbal communication skills
    • Experience communicating effectively with people in urgent situations
    • Proficient in business correspondence and communications

    Preferred Qualifications

    • Hotline experience
    • Spanish proficiency
    • Experience using MailChimp or comparable marketing platforms

Desks are situated in shared office settings, as collaboration between team members is essential to our work.
