    Description

    The Full-Charge Bookkeeper is a pivotal role responsible for managing payroll, accounts payable, accounts receivable, performing monthly close procedures, and compiling financial data to support the Finance Director. In this small nonprofit arts organization, you will help organize financial information and prepare financial schedules. Key tasks include processing bi-weekly payroll and engaging with our diverse community of members and students to manage accounts, issue invoices, process cancellations, and handle credits and security deposit refunds.

    We are seeking a part-time, in-house team member (24 hours per week) who is not only highly skilled but also enthusiastic about learning new things and collaborating within a dynamic team environment. This role provides a unique opportunity to work closely with the Finance Director to help shape and define the bookkeeping position and contribute to the long-term success of our organization.

    Essential Duties & Responsibilities

    Accurately record daily financial transactions and complete the posting process for accounts payable and receivable in the general ledger.

    Bring the books to the trial balance stage.

    Perform partial checks to ensure the accuracy of the posting process.

    Conduct monthly account reconciliations.

    Prepare monthly financial schedules, including but not limited to Statements of Activity, Statements of Financial Position, and Cash Flow Statements.

    Process bi-weekly payroll using Paylocity.

    Maintain and manage donations using Bloomerang, ensuring donor records are up-to-date and accurately reflect contributions.

    Collaborate with external financial consultants to prepare and file federal, state, and local tax documents, extensions, and quarterly payments.

    Perform additional tasks as assigned.

    Requirements

    Knowledge, Skills & Abilities

    College degree in Accounting or a related field preferred.

    At least four (4) years of relevant experience as a full-charge Bookkeeper, ideally in a nonprofit, arts, or educational environment.

    Eagerness to learn and master new technologies and software as needed.

    Intermediate to advanced proficiency in QuickBooks Online, Bill.com, Paylocity, Microsoft 365, POS systems, MS Office Suite (Word, Excel, Outlook), and Google Workspace (Docs, Sheets).

    Excellent interpersonal skills; able to connect well on the phone and in person, showing patience, kindness, and tact with Members, Students, Staff, and Donors.

    Strong time management skills and the ability to prioritize efficiently.

    Exceptional written and verbal communication skills.

    Attention to detail and accuracy in data entry.

    Preferred Qualifications

    Experience with ceramics and clay would be a bonus!

    Physical Requirements This position operates in an open office environment without climate control. The following physical tasks must be performed with or without accommodation:

    Stand, sit, kneel, walk, bend, and perform repetitive motions for an eight (8) hour shift.

    Operate standard office equipment, including computers, keyboards, phones, POS machines, and printers.

    Traverse the facility safely, including climbing stairs.

    Safely lift and transport items up to 25 lbs in and out of vehicles.

    Communicate clearly in person, over the phone, and during video conferences.

    Complete the COVID-19 primary vaccination series and the most recent booster.
