    Position Overview:

    We are seeking a highly organized and compassionate (Administrative/Patient Coordinator) to join our team in 2025. Administrative/Patient Coordinator will work closely with and report to Founder and President Alex Gitungano. This role is critical in supporting our mission by managing administrative tasks and coordinating care for international patients receiving treatment through JHI. The ideal candidate has strong project management skills, is detail-oriented, empathetic, and capable of working effectively with diverse populations.

    Key Responsibilities:

    Patient Coordination:

    • Serve as the main point of contact for patients and their families, providing support throughout their treatment journey.
    • Coordinate travel arrangements, visa applications, accommodations, and transportation for patients and caregivers.
    • Assist with scheduling medical appointments, follow-ups, and treatment plans in collaboration with partner hospitals.
    • Maintain regular communication with patients, families, and medical professionals to ensure seamless care and address any concerns or challenges.

    Administrative Support:

    • Manage JHI’s patient database, including tracking patient information, treatment progress, and outcomes.
    • Prepare and maintain patient records, documents, and reports, ensuring accuracy and confidentiality.
    • Support the Executive Director and team with general administrative tasks, including scheduling meetings, handling correspondence, and maintaining organizational records.
    • Assist with grant applications, donor communications, and fundraising activities as needed.

    Collaboration and Communication:

    • Work closely with JHI’s medical advisory team, partner hospitals, and volunteers to facilitate patient care and program activities.
    • Collaborate with team members to develop and implement patient care protocols, workflows, and best practices.
    • Participate in regular team meetings to provide updates on patient cases, challenges, and successes.
    • Qualifications:**
    • Bachelor’s degree in healthcare administration, public health, social work, or a related field (or equivalent work experience).
    • Minimum of 2 years of experience in patient coordination, healthcare administration, or nonprofit management.
    • Strong organizational and multitasking skills with a keen attention to detail.
    • Excellent communication and interpersonal skills, with the ability to work effectively with diverse populations.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with database management.
    • Ability to work independently, take initiative, and adapt to a fast-paced environment.
    • Cultural sensitivity and empathy for working with patients and families from different backgrounds.
    • Experience in a medical or healthcare setting is a plus, especially in coordinating care for international or underserved patients.

    Additional Requirements:

    • Availability for occasional travel, primarily within the Boston area.
    • Fluency in a second language (e.g., French, Spanish, or Swahili) is a plus but not required.
