    Summary

    For over three decades, LGBTQ+ Victory Fund and LGBTQ+ Victory Institute have helped to train, support, and elect thousands of out LGBTQ elected officials at every level of government. Our leaders have been catalysts for expanding legal rights for LGBTQ+ people across the country, and they have transformed our nation’s policies and shifted our political landscape towards equality. Today, more than 1,200 LGBTQ+ Americans are serving in elected office due to the work of Victory Fund and Victory Institute.

    Victory is seeking an Events Manager, reporting to the Vice President of Development, to spearhead the planning and execution of fundraising and other special events across the country. This position works collaboratively within the Development team and across the organization, as well as with our events consultants, a national network of host committees and volunteers.

    The ideal candidate is organized, strategic, detail-oriented, energetic, self-motivated, flexible and able to multi-task. They optimistically face challenges, enjoy problem solving, and are poised to improve LGBTQ+ representation through producing events that inspire action.

    Roles & Responsibilities

    Event Planning and Leadership

    • In coordination with team members and events consultants, oversee all aspects of Victory Fund & Victory Institute events from start to finish including, but not limited to venue selection, catering, a/v, and vendor management.
    • Proficient at sourcing, negotiating, evaluating, and executing various venue & vendor agreements. Ability to achieve noticeable vendor savings within budgetary parameters, tracking financial benefits.
    • Act as the primary Producer for more than 15 Victory Fund and Victory Institute events, including large scale (800 person) Champagne Brunches, an annual International LGBTQ Leaders Conference which includes three days of programming, networking receptions, and smaller nationwide receptions and salons.
    • Expert at managing events involving government officials with discretion, while organizing volunteers, sponsors, and creating an elevated participant experience.
    • Provide framework and support for all planning and logistical needs for local host committees across the country to execute local fundraising events.
    • Develop staffing plans for all events, and recruit local volunteers as needed.
    • Utilize project management applications to create timelines for drafting and approval of all event emails, confirmations, acknowledgements, including invitations to emcees, speakers, performers, and other special guests.
    • Maintain current knowledge of event industry trends with an eye toward innovation and excellence to increase event fundraising potential.
    • Establish processes to track event programming and execution across various Political and Program teams
    • Respond to all donor inquiries related to events.

    Logistics Management

    • Work with Development Operations/Data team to ensure timely and accurate ticket sale processes.
    • Prepare all materials for events including printed materials and run of show.
    • Maintain accurate outreach lists, RSVP, and guest records and work seamlessly with Development Operations/Data team to execute flawless event check-in system
    • Tracking and administration of sponsor benefits and activations for all events (including load-in/load-out), as well as management of individual ticket sales
    • Utilize project management applications to develop and deliver timelines for all events logistics

    Marketing and Promotion

    • Facilitate events-related communications activities in collaboration with Communications team members, ensuring that timely press releases, social media posts, mass emails, and other promotional assets are created, distributed, and deployed in a timely manner.
    • Work cross-functionally with Communications and Development Leads to write event-related web and print copy, invitations, and creation of all necessary marketing collateral (signage/social media/digital displays and more)

    Pre and Post-Event Evaluation

    • Provide event debriefing sessions and reports - highlighting key learnings, challenges, and opportunities
    • Create surveys and conduct event evaluations to assess success and areas of improvement.
    • Compile and analyze feedback from attendees and staff.

    Budget Management

    • Manages budgets for events and keeps projections up to date.
    • Track profit and loss (Event ROI) information for all Victory events.

    Qualifications

    • Bachelor’s degree from a four-year college or university, plus three years’ experience managing and executing large scale events; or equivalent combination of education and/or experience.
    • Previous experience planning events for a large non-profit or in a fundraising setting highly preferred.
    • Commitment to the organization’s mission and goals.
    • Impeccable follow up and follow through.
    • Highly detail oriented with strong organization and critical thinking skills, with strong ability to prioritize requests and delegate.
    • Dexterity to work in a fast-paced, campaign-oriented environment.
    • Travel to events is required, along with willingness to sometimes work beyond traditional business hours, including some evenings and weekends.
    • Excellent time and project management skills; able to manage multiple priorities simultaneously.
    • EveryAction and OneCause experience preferred.
    • Strong computer skills including MS Office Suite (Sharepoint, Teams, and Outlook).

    The salary range for this position is $65,000 - $73,000, commensurate with experience. Please include salary requirements in your materials.
