    Description

    At Womankind, our mission is to harness the multidimensionality of our Asian heritage to support survivors of gender-based violence on their healing journeys. The Operations Department is dedicated to creating and enhancing systems that ensure effective service delivery. The goal of the VISTA project is to break the cycle of poverty by improving the efficiency of the Operations Department. By supporting these efforts, the VISTA initiative will lead to quicker response times and higher-quality services across the organization. VISTA will build capacity by enhancing skills in project management, IT troubleshooting, and interpersonal communication. Through improved documentation and streamlined processes, our clients will receive more comprehensive and effective support, ultimately fostering their journey toward self-sufficiency.

    Essential Functions

    • Tech Inventory and Documentation: The objective is to establish a comprehensive inventory management system for all company tech assets, resulting in a 25% increase in inventory accuracy within six months. Through regular updates, data analysis, and detailed documentation, the VISTA member will enhance asset tracking and lifecycle management. By generating insightful reports and developing onboarding/offboarding document.
      • Inventory Creation: Develop and implement a complete inventory system for all company tech assets, including hardware and software.
      • Asset Tracking: Regularly update and manage the inventory database to ensure accuracy and availability of information regarding the tech inventory.
      • Data Analysis: Analyze inventory data to identify trends, discrepancies, and opportunities for optimization.
      • Documentation: Create and maintain documentation for inventory processes, policies, and procedures.
      • Reporting: Generate and present reports on tech inventory status, usage, and lifecycle management to relevant stakeholders.
      • Support: Create a document to assist with the onboarding and offboarding processes by tracking technology allocations and returns
      • Compliance: Ensure compliance with company policies and industry standards related to asset management.
    • Site Facilities & Knowledge Base Creation: The objective is to enhance site operations and increase staff satisfaction by 30% through the creation of a comprehensive documentation system. This will include a report on site facilities management, development of a centralized knowledge base, and collaboration with site managers to ensure that best practices and operational guidelines are clearly communicated. By also assisting in the creation of training materials, the VISTA will equip team members with the necessary resources to comply with standards, fostering a supportive work environment that prioritizes safety and operational excellence.
      • Site Facilities Documentation: Create a report about the management of site facilities, including maintenance, safety protocols, and compliance with company standards.
      • Documentation Creation: Develop, organize, and maintain comprehensive documentation for each site, including standard operating procedures, maintenance logs, safety protocols, and emergency procedures.
      • Knowledge Base Development: Create and manage a centralized operations knowledge base that captures best practices, lessons learned, and operational guidelines for each location.
      • Collaboration: Work closely with site managers and teams to gather relevant information and ensure the knowledge base reflects current practices and procedures.
      • Training Support: Assist in the development of training materials and resources based on the knowledge base, ensuring that team members are informed and compliant with operational standards.
    • IT process creation: The objective is to improve operational efficiency by establishing an IT documentation process that includes user guides, process flows, and system configurations. The VISTA will develop comprehensive training materials for staff on new technologies and conduct research on best practices, ensuring that solutions are tailored to departmental needs. By fostering collaboration and addressing commonly asked questions, this initiative aims to enhance staff proficiency and satisfaction with IT systems.
      • Documentation: Create and document a process to maintain and update IT documentation, including user guides, process flows, and system configurations.
      • User Training: Create and document IT training for staff on new technologies and systems.
      • Research: Conduct research on emerging technologies and best practices to improve operational efficiency.
      • Collaboration: Work closely with various departments to understand their IT needs and create appropriate solutions for the most commonly asked questions
    • Trauma-informed implementation at community sites: The objective is to enhance the effectiveness of Womankind's events and facilities by implementing trauma-informed design principles. They will create floor plan templates and design guidelines, develop staff training on trauma-informed design, and establish a toolkit for best practices. By collaborating with site teams to implement and maintain these principles, the project aims to foster safe and supportive environments that align with Womankind’s mission and values.
      • Oversee event setup, execution, and breakdown, ensuring that all aspects run smoothly and addressing any issues that arise.
      • Gather feedback from participants and stakeholders to assess event success and identify areas for improvement.
      • Floor plan creation: Create floor plan templates that reflect research on trauma-informed spaces and submit them for review to management
      • Staff training: Create a presentation for staff to learn about trauma-informed design and why is important to implement it in all our spaces
      • Development of Design Guidelines: Establish clear trauma-informed design principles to guide the implementation process, including aspects such as layout, color schemes, and furniture selection. Create a toolkit that outlines best practices for trauma-informed design specific to Womankind’s mission and values.
      • Trauma-informed space implementation and maintenance: Create a project scope of trauma-informed design implementation across all Womankind sites. Collaborate with site teams to execute implementation and see through completion of the projects. Create guidelines and rules of upkeep for the sustainability of trauma-informed spaces
    • Trauma-informed implementation at residential spaces: The objective is to enhance the living environments of residents and staff by implementing trauma-informed design principles. VISTA members gather feedback to assess the effectiveness of these spaces. By collaborating with residential managers to implement and maintain these principles, the project aims to provide residents with the supportive environment they need to access critical resources and connect with programs that facilitate their healing and empowerment.
      • Trauma-informed research: Perform research on trauma-informed design and consolidate findings into a report for findings to be reviewed by management. Womankind strives to create safe, inclusive, and trauma-informed spaces to serve clients in the community where they can feel safe and supported while receiving the various services Womankind provides.
      • Floor plan creation: Create floor plan templates that reflect research on trauma-informed spaces and submit them for review to management

    Qualifications

    • Bachelor’s degree required
    • Proficient in Microsoft Word, Excel, and Outlook
    • Excellent ability to communicate orally and in writing to a wide range of people
    • Effective planning, time management, and organizational skills
    • Familiarity with IT, process creation, and knowledge base creation
    • Proven ability to maintain good working relationships with a variety of people and groups
    • Highly resourceful, self-directed, and flexible with excellent team coordination abilities
    • Must be able to meet strict deadlines and adapt to changing deadlines
    • Knowledge about dynamics of domestic violence, sexual violence, and human trafficking in immigrant communities preferred

    • To serve in AmeriCorps VISTA, applicants must have one of the following citizenship statuses: U.S. Citizens, U.S. Nationals, Lawful Permanent Residents, or persons legally residing in a state that have the following legal residency classifications: refugee, asylum or asylee, temporary protected status or deferred action for childhood arrivals (DACA) status. This is a requirement set by AmeriCorps.

    Schedule

    Please note the position is set to start January 13, 2025. The date may be subject to change, depending on AmeriCorps’ flexibility, availability, and budget to place a candidate.

    This position is a full-time commitment (40 hours/week) and lasts for one year (12 consecutive months). The VISTA will work a Monday-Friday 9 am-5 pm or 10 am-6 pm schedule. The first three months of service are fully in-person. After three months, VISTAs can transition to a hybrid schedule of 3 days in-person and 2 days remote, although this will be at the discretion of the direct VISTA supervisor.

    Location

    Womankind is based in New York City, so it will be expected that the VISTA can commute in person to Womankind locations. The VISTA will primarily be based out of the Headquarters office, located in the Financial District of Manhattan. Please note, the Operations VISTA will also be working out of Womankind community offices (Sunset Park, Brooklyn, Chinatown, Manhattan, and TBD, Queens) and residential locations (confidential locations in Queens and Brooklyn) throughout the service term. All Womankind locations are accessible through public transportation.
