    Description

    The League of Women Voters of Pennsylvania (LWVPA) is seeking a dedicated and dynamic Program & Operations Coordinator to join our team and support our mission of empowering voters and defending democracy. In this role, you will play a crucial part in managing and enhancing our civic engagement and advocacy programming activities and day-to-day League operations, including coordination of statewide committees and program initiatives, League administration, financial operations, and supporting communications and development, and program initiatives and event planning. This position is crucial to ensure the smooth functioning of our organization and the success of our mission. The Coordinator will work primarily with the Executive Director, the State Board of Directors, and other staff and fellows to support the daily, quarterly, and annual operations of the League. This person will play an important role in building organizational capacity at the state level and grow the organization.

    Key Responsibilities (to include, but not limited to):

    • Statewide program initiatives: in cooperation with the Executive Director and the Civic Engagement Coordinator, oversee, manage, and implement statewide programs (e.g. advocacy programs like an Lobby Day, State Lobby Corps; training programs like leadership training sessions, lobbying & advocacy training sessions, etc.); support and staff LWVPA program committees; plan, coordinate, and execute the bi-annual Convention and Lobby Day; and other program initiatives as developed and as needed;
    • League Administration: maintaining member and supporter databases; assisting Board and staff with internal technology; maintaining accurate internal and external calendars; staffing the LWVPA finance committee and facilitating other Board and Board Committee meetings, as needed; supporting local Leagues, as needed
    • State League communication: support the maintenance of the State League website and social media accounts; sending emails and action alerts through Action Network; creating and sending a monthly newsletter
    • Financial bookkeeping: inputting, managing, and paying bills; reconciling credit card statements and banking transactions; filing local League chapter 990-Ns; Managing reimbursements for Fair Districts PA; Local League billing; and, audit support
    • Development: recording all donations and sending donor acknowledgment letters/emails on behalf of the ED, this includes recording donations for Fair Districts PA and facilitating donor acknowledgment; support the ED and Development Director by identifying funding opportunities; drafting/finalizing grant proposals, as needed; tracking grant spending and reporting; facilitate the logistics of individual and major donor given campaigns; drafting/finalizing the annual report to members and donors
    • Vendor management: liaising with and managing payments to vendors

    Location and Time Expectations:

    This position will be remote but based in Pennsylvania, with the expectation for travel to Harrisburg, or other locations, to support State and local League events, and to meet with the Executive Director and other staff, as needed. This position is full-time at 40-hours per week, including some evenings and weekends, as necessary.

    Qualifications:

    • Bachelor’s degree required, Master’s degree in public administration, public policy, or related field, preferred
    • Pennsylvania resident
    • Ability to work independently, with strong interpersonal skills
    • Ability to work under tight deadlines, including the ability to pivot quickly to address time sensitive needs, while maintaining data/information accuracy and integrity
    • Excellent communication skills, both written and oral, including flexibility and patience to address Board and local League members’ questions and concern
    • Knowledge of and experience with QuickBooks Online
    • Additional experience with Bill.com, Canva, and Squarespace, or other website builder, a plus

    Compensation and Benefits:

    Salary is competitive and will be commensurate with experience. The salary is also complemented by a competitive benefits and time-off package.
