Bilingual Front Office Manager

This role is a 12-month position, which is exempt and therefore not eligible for overtime pay under the provisions of the Fair Labor Standards Act.

About the Position: Working hours are 10am-6pm

The responsibilities of the Front Office Manager include:

Reception (Morning and Afternoon)

• Act as the first point of contact for parents, community members, vendors, etc.
• Ensure that visitors are able to enter the building .
• Greet visitors and ensure they sign in at the front desk to receive a visitor's badge
• Maintain a visitor’s log.
• Make visitors and callers feel welcome and that they have entered a caring learning community.
• Answer telephones and pass on urgent messages to the appropriate person.
• Screen calls in case of an emergency and notify Administrative staff as needed.
• Help maintain a safe front entrance environment at all times, ensuring students are directed to the appropriate locations, particularly during inclement weather.
• Communicate with the administration on duty for direction on inclement weather and arrival/dismissal policies.
• Work closely with security for support during high volume times of the day.
• Develop systems for organizing the physical space and operations of the front desk.
• Assume primary responsibility for maintaining front desk systems.
• Keep the front desk stocked with basic office supplies.
• Instruct other staff on office procedures. Notify staff of changes as needed.
• Support Campus Office Managers in coordinating early dismissals and late arrivals.
• Maintain a school phone directory and keep it up to date with staff/teachers extensions and titles.

Interaction with Students and Parents (Morning and Afternoon)

• Attend to students in need of assistance.
• Reinforce and remind students of school rules.
• Support daily lunch monitoring in the cafeteria.
• Help to ensure that parents feel welcomed in our building.
• Be aware of school-wide events and calendar.

Support to Spanish-speaking families and community members (Morning and Afternoon)

• Support translation of general notices and materials into Spanish as needed.
• Assist visitors or parents in Spanish as needed.
• Serve as a general resource for Spanish-speaking families.
• Support or assist with interpretation during student-led conferences.

After School (Afternoon)

• Support after school teachers and staff as needed.
• Maintain accurate records of after school activities schedules and locations.
• Support dismissal of students from after school activities and after care.
• Support after school events such as sporting events.
• Work closely with the Director of After School Programs and Director of Enrichment during after school hours.

Mail (Morning and Afternoon)

• Sort incoming mail and deliver to mailboxes in the Teacher Work Room. All mail should be distributed the day it is received.
• Keep staff mailboxes up-to-date with staff names in the Teacher Work Room.
• Sort incoming faxes and place in appropriate mailboxes. Faxes should be distributed as

soon as possible upon receipt, no later than the close of business.

• Check to see outgoing mail is picked up by the postal carrier.
• Manage/support school-wide mailings by: managing data lists, setting up mail merges to create labels and personalized letters, stuffing envelopes and running through a postage machine.
• Keep track of all incoming documents and forms to the front desk, health forms, messages from parents or teachers. Sort and distribute incoming documents to appropriate staff and departments.

Admissions and Re-Enrollment (Morning and Afternoon)

• Support the Family Engagement & Admissions Team during enrollment season to contact new families or collect supporting documents as needed.
• Stay up-to-date on the My School DC application process and support prospective families to complete the online form.
• Support the collection of Student Health Records.
• Support families with the online FARM application process; Be familiar with the online application, and make outreach calls to families who haven’t completed the application. ˛

Administrative Support (Morning and Afternoon)

• Stay up-to-date on the Kids Ride Free Program (Metro) in order to share current information with students and families and process cards for students as soon as they are requested.
• Collect and record payments and donations for all school initiatives. Ensure any payments received are sent to the Business office.
• Directing deliveries of packages to the appropriate space.
• Manage the Lost and Found items and notify families of donation dates.

Desired Qualifications:

Qualifications: Associate’s degree preferred, Bachelor’s degree a plus. Strong oral and written communication skills in English and Spanish are a must. Candidate must be organized, flexible, detail-oriented and able to multitask. Candidate should be friendly, professional, and comfortable interacting with a variety of people including adults and children. Prior office experience, including familiarity with office systems such as student databases, Microsoft Excel, and word processing is essential.

Spanish proficiency is required.

In addition to the above requirements, staff members must meet the requirements of all hires at Capital City including a criminal background check.
