    Description

    The Accounting Associate supports the operations of a Berkeley-based legal nonprofit organization focused on using class and impact litigation to pursue economic, environmental, racial, and social justice. The responsibilities of this position are to maintain accounting records and assist with file management, financial reporting, and HR functions while upholding strict adherence to internal controls, accuracy, and confidentiality. This role is a part of a vibrant and collaborative hybrid workplace, reporting to the HR/Finance Director. The position is non-exempt and can be part time (50% minimum), full time, or part-to-full time.

    Responsibilities

    Bookkeeping

      • Enters, verifies, and categorizes a high volume of financial transactions with appropriate documentation
      • Supports the maintenance of the general ledger
      • Processes, tracks, and manages customer payments
      • Records cash receipts, makes bank deposits, and performs account reconciliations
      • Prepares vendor payables in QuickBooks Online (QBO) with proper classification of all transactions
      • Assists with tracking and reconciliation of balance sheet accounts
      • Reconciles accounting system to donor database and works with Development Team to resolve discrepancies
      • Reconciles accounting system to grant program data and works with Grant Program Team to resolve discrepancies

    Financial Reporting

      • Tracks monthly allocations
      • Assists in preparing work papers and various schedules for annual audit and tax filings
      • Updates monthly spreadsheet to calculate class and project expense divisions and formulate related adjustments
      • Prepares internal financial and special project reports as requested by the HR/Finance Director

    HR, Payroll, and Benefits Administration

      • Manages bi-monthly payroll: soliciting time sheet submissions, entering time into payroll application, preparing preview reports and documents for approval
      • Assists with tracking employee sick and vacation accruals, time off, benefit changes with service milestones, and changes in compensation or employment status
      • Updates SEP/IRA contributions spreadsheet
      • Coordinates with insurance broker and HR/Finance Director to ensure timely policy renewal and updates
      • Maintains confidential personnel files

    Required Skills/Abilities

      • Excels in a high-volume accounting environment
      • Practical knowledge of and skilled in diverse bookkeeping functions
      • Excellent organizational and time management skills
      • Careful attention to detail with an ability to maintain meticulous records
      • Can work independently following verbal and written instructions
      • Reliable, discreet, and extremely trustworthy
      • Highly proficient in QBO, Excel, and Adobe Acrobat
      • Strong computer skills with the capacity to learn new applications quickly
      • An interest in social justice and the law

    Education and Experience

      • Completion of college-level accounting education
      • Knowledge of nonprofit bookkeeping practices and procedures
      • Extensive knowledge of QBO
      • Understanding of and ability to adhere to generally accepted accounting principles

    Physical Requirements

      • Prolonged periods sitting at a desk and working on a computer.
      • Must be able to lift up to 15 pounds at times.

      • Located in Downtown Berkeley immediately adjacent to BART
      • Part-time = 9 to 1 or 1 to 5 office hours available
      • Full-time equivalent salary ranging from $60,000 to $75,000, based on experience
