    Finance Director

    Position Description

    Reports to: Interim Co-Executive Managers

    African Services Committee is the oldest and largest non-profit serving the African immigrant community in New York City. Established in 1981 by Ethiopian refugees, African Services was initially set up to provide comprehensive resettlement assistance to African refugees and asylum seekers. Today, ASC provides health, housing, legal, educational and self-sufficiency services to African and Caribbean immigrants, refugees and asylum seekers affected by war, poverty, global health disparities, political oppression, and social persecution based on sexual orientation or HIV status. Our programs are designed to meet the basic needs of newcomers, using health as a gateway to immigrant integration and supporting community members to live healthy and productive lives.

    Position Overview: The Finance Director leads the organization’s day-to-day financial management activities. This role is responsible for management of financial functions including payroll, accounts payable, accounts receivable, cash flow and audit preparation. In addition, this position oversees implementation of effective financial policies and procedures to ensure that internal controls are in place, transactions are properly recorded and all financial data is accurate.

    Major Duties and Responsibilities:

    General Ledger and Month End Close

    • Maintains the organization’s chart of accounts, ensuring that the structure of accounts and cost centers meets organizational needs for accurately collecting and reporting on financial data.
    • Supervises all general ledger activity, including accounts payable, accounts receivable, month end close, and payroll.
    • Reconciles general ledger accounts.

    Accounts Receivable and Contract Management

    • Prepares financial reports for grantors & funding agencies, as needed, and supervises the preparation and submission of all vouchers.
    • Supervises recording and reporting of grant expenditures to ensure compliance with grant budgets, including the reclassification of expenses as needed to meet grant budget requirements.
    • Tracks contract budgets versus vouchers to ensure that the organization is maximizing contract revenue.
    • Monitor cash receipts for all contracts to ensure that ASC is paid in a timely fashion.

    Accounts Payable and Banking Activities

    • Oversees all accounts payable activity.
    • Reviews and approves office supplies and equipment acquisition.
    • Manages all banking activities and agency credit cards including checks, wires, account transfers.

    Payroll

    • Prepares and submits semi-monthly payroll to ASC’s payroll provider and supervises entry of semi-monthly payroll expenses into Fund EZ.
    • Completes quarterly and annual reconciliations between payroll and State and Federal payroll reports

    Audit and Tax Filings

    • Lead preparation of the annual Audit and Form 990 tax returns including:
      • Preparation of supporting schedules as needed (e.g. payables, receivables, dues, pre-paid expenses, depreciation, restricted net assets, etc.).
      • Coordination of collection of non-financial materials (e.g. conflicts of interest forms)
      • Preparation of draft financial statements.

    Budget and Cash Flow

    • Supports development of ASC’s annual organizational and program budget and mid-year reforecast.
    • Generates budget versus actual expense reports for program directors.
    • Assists with preparation of annual, quarterly and monthly financial reports to the board and senior management.
    • Completes cash flow projections to ensure that ASC is able to meet all financial obligations.

    Qualifications:

    • Bachelors degree in Accounting/Finance or appropriate relevant experience.
    • Minimum of 5 years of experience in non-profit budgeting and accounting, government reporting, and automated budgeting and accounting systems.
    • Minimum of 2 years of experience supervising staff, preferably in the areas of non-profit finance and accounting.
    • Experience with Fund EZ software preferred.
    • Strong written and verbal communication skills, and the ability to work with a diverse audience of management, staff, and funders including those with and without accounting knowledge.
    • Strong analytical skills. Must be detail oriented, careful and thorough.
    • Ability to anticipate priorities and organize work to be responsive to deliverables required; proficiency in carrying out multiple tasks efficiently and meeting deadlines.
    • Demonstrated team player, with commitment to taking initiative to resolve issues to achieve goals; desire to serve and support others.
    • Strong sense of responsibility and trust as demonstrated in previous positions.
    • Strong software skills in MS Office, including Word, Outlook, and Excel.

    Salary range: $100,000 - $110,000
