    Grants Manager – MACLA/Movimiento de Arte y Cultura Latino Americana is seeking a highly motivated Grants Manager who is passionate about storytelling and has exceptional writing, collaboration, and project management skills.

    MACLA/Movimiento de Arte y Cultura Latino Americana is an inclusive contemporary arts space grounded in the Chicano/Latino experience that incubates new visual, literary, and performance art in order to engage people in civic dialogue and community transformation.

    Position Description

    The Grants Manager will research and write corporate, foundation, and government grant proposals, maintain the grants calendar, track grant requirements and milestones, write and submit grant reports, organize digital grant files, help to manage grantor relationships, and generate status reports. MACLA’s grant portfolio is comprised of 25-30 institutional funders from $5K to $250K for a combined annual total of $1.5M. This role manages relationships with external partners relating to grant and fund development opportunities. Internally, they will collaborate with the Program, Finance, and Fund Development teams as they project manage the grant portfolio process end-to-end.

    We are seeking someone with strong organizational and project management skills to deliver high-quality, accurate work. We are looking for someone who loves to write and develop compelling proposals aligned with organizational needs and impact. You must have a strong commitment to the intersection of Latinx art, culture, and social justice. You understand ethical and strengths-based storytelling that centers on the voices and experiences of MACLA artists, youth, and community members.

    The Grants Manager will:

    Grants Management & Reporting (~80% of time)

    • Responsible for the entire grant application process: research, write, organize, edit, and submit grant applications in accordance with grantor requirements and deadlines, and monitors and tracks the status of proposals
    • Maintain the annual grant calendar and ensure timely submission of relevant documents
    • Maintain internal grant database, save documents to SharePoint, and update MACLA staff on funder insights and communications
    • Research new funding opportunities connected to MACLA’s programs and mission
    • Steward the internal grant process for new and existing funders from pre-award preparation through implementation and close-out reporting
    • Work in collaboration with staff to gather information, insights, and develop a compelling case for support, including annual attendance and anecdotes
    • Project manage grant and report deadlines with consideration of sequencing and staff workflow
    • Communicate grant compliance milestones with staff to ensure effective implementation and share updates with funders
    • Monitor proposal outcomes to identify effective strategies and incorporate feedback in future proposals
    • Participate in webinars, site visits, in-person meetings and support MACLA staff to steward funder relationships
    • Annually update nonprofit profiles, i.e. Candid’s GuideStar, and maintain SAM registration
    • Other duties as assigned

    Fund Development Support (~10% of time)

    • Support fund development efforts, including Latinx Art Now! Sponsorships, program previews and donor cultivation events as needed
    • Provide excellent customer service
    • Work some evenings and weekends for program and events as needed, including South First Fridays
    • Volunteer Coordination (~5% of time)
    • Re-launch and coordinate MACLA volunteer pool, including:
    • Recruit, motivate, and mobilize volunteers around MACLA programs and events
    • Assess upcoming volunteer needs and share opportunities monthly
    • Manage volunteer database to maintain current contact information, interests, and general availability, including tracking volunteer hours
    • Create a “Welcome to MACLA” Volunteer Orientation training session
    • Develop Volunteer briefings for event leads and volunteers (i.e. arrival time, event point of contact, roles and responsibilities, etc.)

    Overall MACLA Responsibilities (~5% of time)

    • Participate in organizational meetings, such as all-staff meetings, strategic planning, facility planning, and Board meetings
    • Attend meetings, conferences, and peer learning networks on MACLA’s behalf
    • Represent MACLA at tabling opportunities, encouraging folks to sign up for e-news, volunteer, or support the organization’s work
    • Support other MACLA programs as needed (e.g. staffing box office)

    Qualifications:

    Experience:

    • At least 3 years of experience in grant management, non-profit fundraising or development
    • Bachelor’s degree or equivalent experience as defined by a combination of schooling, training, and/or work experience on a year-by-year basis
    • Experience with government and foundation funding applications, including local, state, and federal

    Skills and Abilities:

    • High proficiency in Microsoft Office (Outlook, Word, Excel, SharePoint, PowerPoint), Adobe Acrobat, DocuSign, Salesforce or other CRM, and internet search
    • Generally tech-savvy and a quick learner
    • Excellent verbal and written communication skills
    • Strong organizational, project, and time management skills with attention to detail
    • A professional and resourceful style; the ability to work independently and as a team player, to manage multiple tasks and projects at a time
    • Ability to handle confidential information with discretion
    • Valid CA Driver’s License, access to a vehicle, auto insurance, and DMV clearance
    • Pass a DOJ/FBI LiveScan fingerprint and background check
    • Ability to lift 30lbs. at a minimum
    • Spanish speaking a plus

    The Grants Manager reports to the Executive Director, regularly collaborates with all MACLA staff, and interacts with interns and volunteers. This role is part of MACLA’s fund development team, which currently includes the Executive Director, Executive Assistant, and the Operations & Finance Manager. In the future, this position may supervise additional staff as the organizational chart evolves.

    Compensation & Benefits:

    This position is full-time and exempt. This position requires some evenings and weekends. The annual salary for the Grants Manager is $75,000 - $90,000, dependent on experience. This position is expected to work onsite in our office in downtown San Jose, CA.
