Business Manager
The purpose of this job is to be accountable for the administrative functioning of the church including the supervision and team leadership of the office team, consisting of Congregational Administrator and Building Coordinator. It is a part time, exempt position that reports to the Minister. Base schedule is 30 hours per week.
Essential Functions
- The Business Manager works with members of the congregation and members of different teams to support the congregation and the church mission.
- The Business Manager serves on the Executive Team with the minister and lay members of the congregation.
- Perform or oversee accounts payable functions, including bill pay, reimbursement checks and monthly accounts reconciliation.
- Perform or oversee Accounts Receivable function including donation processing.
- Prepare financial reports for monthly board meeting and by request for various church committees and groups.
- Business Manager drafts and participates in annual budget process and provides support to Stewardship Fund Drive each spring.
- Oversee Human Resources for the church staff, including preparation of payroll, benefits, reviews and implementation of policies determined by the Personnel Team and Executive Team, search and hire new office and custodial staff, oversee new hire orientation, and prepare annual reviews for direct reports. Provide payroll details to Congregational Admin for routine payroll changes:
a. calculations for salary changes each fiscal year
b. changes in benefit deductions when applicable
- Recruitment, coordination, supervision and training of Office Volunteers.
- Manage use of building and rentals, including relationship with daycare tenant and calendar management.
- Oversee Building Coordinator and maintenance of physical facilities
- Daily outside communication via email, phone and in person.
- Oversee maintenance of central file system, including maintenance of Board of Trustees, Executive Team, and Personnel records.
- Oversee maintenance of congregational vital statistics, including Planning Center database, membership and financial records.
- Support pastoral functions such as Memorial services and weddings coordinate with officiants and families. Order brass plaques for memorial garden.
- Assist Board of Trustees with preparation for Annual Meetings and Congregational Meetings, including voter list updates, notices and set up for meetings.
- Work with insurance providers to manage property and liability insurance contracts.
- Oversee office tech support including computer equipment, phone system and networks.

a. Answer phones (when volunteers or Congregational Administrator are not available)
b. Attend and participate in staff meetings and retreats
- The Business Manager provides back up coverage for office admin tasks as needed.
Skills and Experience
This position requires 3-5 years in a church or not-for-profit organization (Equivalent experience in business may also be considered) that included the following:
- Office Management skills
- Supervisory and/or HR experience required
o Supervising volunteers
o Supervising paid staff
- Familiarity with non-profit accounting and finances
- Ability to communicate the fundamental values of the organization
- Proficient in use of Microsoft Office, Publisher, and Quick Books or other accounting software
- Experience with church management systems such as Church Windows, Planning Center, or Realm. Experience with other types of management data systems may be considered such as customer management systems or scheduling software.
- Customer service skills, team leadership and team building skills
- Phone and presentation skills
- Basic office equipment proficiency
- College degree required
- Familiarity with web content editors such as Wordpress.
- Familiarity with marketing and publicity applications, including social media (Facebook, Instagram) or email marketing such as Constant Contact, etc.
BASE SCHEDULE - 30 HOURS PER WEEK M-F 9AM TO 3PM WITH OCCASIONAL EVENING OR WEEKEND WORK
