    Position Overview

    The Operations Manager plays a vital role in overseeing the organization's financial and administrative functions. CLLC seeks a motivated, results-driven professional who can provide leadership in a dynamic and eclectic office environment. Reporting to the COO, this role involves a broad range of responsibilities, including supporting CLLC’s financial activities, employees, Board of Directors, and operational systems and processes. Success in this position requires exceptional organizational and communication skills, keen attention to detail, a solid understanding of nonprofit operations, and a proactive, solution-oriented mindset.

    Responsibilities

    Finance and Accounting

    Manage the day-to-day financial activities of the organization and provide support to the COO around budget compliance and financial oversight.

    • Oversee financial aspects of grant and contract management, including budget compliance, expense tracking and reporting.
    • Manage Accounts Payable and Receivable, including the electronic allocation of revenue and expenses to the correct accounts, classes and restriction categories. Responsible for invoicing, tracking and recording payments due to CLLC. Reconcile grant and contract receivable accounts on a quarterly basis.
    • Coordinate and support the annual audit process.
    • Ensure compliance with and make improvements to the Financial Policy and Procedure Manual.
    • Prepare semi-monthly payroll worksheets for processing by a third-party accountant. Collect and maintain proper time-keeping records; manage corresponding time allocations to grants and ensure compliance with state and federal employment regulations.
    • Process Employee Expense Reimbursements including receipt verification and filing.
    • Administrate CLLC’s credit card accounts including gathering, organizing, and filing receipts for charges and recording transactions in QuickBooks.

    Administrative Support

    Provide comprehensive administrative support to the organization with a focus on improvements to systems and processes.

      • Provide support to the Board of Directors. Schedule meetings, create and organize meeting materials and take meeting minutes. Maintain Board records and support the Executive Team in new Board Member onboarding.
      • Together with the Leadership Team, plan and manage Board gatherings.
    • Organize, develop agendas and facilitate bi-weekly staff meetings.
      • Manage organizational insurance coverage and support the COO in the areas of risk management and legal compliance. Assess insurance needs in response to organizational changes and complete annual renewals of all policies.
      • Keep professional memberships up to date, including Secretary of State Annual Report, SAM, Montana Nonprofit Association, etc.
      • Manage current software systems such as box.com and slack; provide staff training and troubleshooting support as needed.
    • Purchase, set up and track equipment issued to employees.
    • Together with the COO, manage office spaces, equipment and supplies.

    Human Resource Support

    Provide guidance and support for human resource functions, including staffing, organizational culture, professional development, and benefits management.

    • Oversee BambooHR personnel software. Update forms and policies as required. Input and update employee information as necessary.
    • Manage the employee performance review process. Develop review timelines and draft review documents with input from the Leadership Team. Ensure completion of paperwork, communicate expectations to staff and assist as needed throughout the process.
    • Support staff recruitment and lead administrative onboarding and offboarding.
      • Support the creation and updating of accurate position descriptions, post job openings, screen and organize applicants in BambooHR, coordinate hiring committees, schedule interviews and manage CLLC/applicant communication.
      • Draft employee onboarding plans (in coordination with the employee’s supervisor), schedule orientations and complete administrative onboarding tasks including software training and employee paperwork.
      • Lead employee offboarding including equipment return and benefit termination. Schedule and take notes in exit interviews.
    • Responsible for administration of employee benefits including health insurance, retirement plans and workers compensation insurance.Involved in the annual review and renewal or transition of plans; ensure proper paperwork is completed on a timely basis for enrollment; coordinate with external administrators and complete plan audits.
    • With the Operations Team and other CLLC staff, schedule and manage staff gatherings and trainings.
    • Support the COO in periodic reviews of and compliance with the Employee Policy Manual. Participate in revising or drafting new policies to meet organizational needs.

    Preferred Qualifications

      • A minimum of 6 years’ experience working in nonprofit administration, finance, or related field, with demonstrated growth in leadership and responsibility
      • A bachelor's degree in business administration, nonprofit management, finance, accounting or similar or an equivalent combination of education and experience
      • Proficiency with QuickBooks or similar accounting software
      • Experience with nonprofit financial management, including budgeting, reporting and grant compliance; familiarity with federal grants is a plus
      • Knowledge of human resources processes, including payroll, benefits administration, and employee relations
      • Hands-on experience with accounts payable and receivable
      • Familiarity with compliance requirements, including IRS regulations, audits, and nonprofit governance
      • Experience working with a Board of Directors is a plus
      • Highly organized with excellent time management skills
      • Strong problem-solving and troubleshooting skills
      • Proficiency in, or an aptitude to learn, various software programs including Google Workspace, BambooHR, Box.com, Slack, etc.

    Essential Qualifications

      • Be legally authorized to work in the United States
      • Be able to ascend and descend three flights of stairs daily
      • Ability to maintain confidentiality and discretion with sensitive information
      • Possess a high level of integrity
      • Demonstrate strong attention to detail and accuracy
