    The National Network for Immigrant and Refugee Rights (NNIRR) is seeking a part-time Administrative Assistant to run day-to-day office operations out of our Oakland office. This will include administering and tracking accounts receivable/payable, managing all general accounts, answering general inquiries, updating the website, managing donations and fundraising database, among other critical tasks. This position will also provide administrative and program support on an as-needed basis to the Director.

We have been in operation for more than 35 years, with offices based in Oakland, CA, and El Paso, TX. NNIRR has built strong partnerships at the local, national and international levels and works collaboratively to advocate for human rights in immigration and border policy.

    THE POSITION

    The Administrative Assistant will run organizational operations out of our Oakland office. This will include financial administration, a variety of administrative tasks related to fundraising and communications, as well as responding to weekly office needs. The Administrative Assistant is critical to the smooth running of the organization and will help keep our office in Oakland in sync with our office in El Paso. The Administrative Assistant will be overseen by the Director and will communicate with the Board Treasurer, and will participate in regular standing meetings to report on administrative details. The position includes the following tasks:

    • Monitor financial transactions: track accounts receivable/payable, bill paying, banking, process checks, and payroll.
    • Track donations across donation platforms and end donor acknowledgments, including special thank you cards to major donors.
    • Perform data entry and organize record keeping.
    • Maintain bookkeeping files and transfer to the off-site Bookkeeper.
    • Manage all vendor and financial accounts.
    • Maintain payroll and insurance accounts.
    • Ensure state, county, and federal paperwork is current.
    • Process sales and PayPal account.
    • Keep track of website sales.
    • Manage fundraising databases through Salsa Labs.
    • Meet on a regular basis with the director and treasures to discuss finances.
    • Participate in board meetings and take minutes.
    • Support fundraising mailings once or two times per year, additional hours may be needed.
    • Answer general inquiries (google voice and email)

    REQUIRED QUALIFICATIONS

    • 2 years minimum experience in the role of administrative assistant, office manager or equivalent.
    • Competent in Microsoft word, google sheets and google docs.
    • Experience with nonprofit database applications (Salsa Labs, or other).
    • Experience with quickbooks is preferred but not required.
    • Computer/internet savvy.
    • Attention to detail and creative problem-solving skills.
    • Excellent communication skills, both written and verbal.

    DESIRED SKILLS

    • Experience with Quickbooks and non-profit accounting is helpful but not required
    • Experience editing websites, WordPress experience a plus.
    • Experience with nonprofit database applications.
    • Bilingual, Spanish/English is preferred.
    • Knowledge of Salsa Labs, Salsa CRM is preferred.

    COMPENSATION & CONDITIONS

    10-12 hours per week, $25-$30/hour DOE.

    Work from home is possible. However, this position requires going into the physical office in Oakland, CA, a minimum of once per week.
