    Position Summary:

    The Events Manager at Plug In America leads the planning, executing, and managing a diverse range of high-profile electric vehicle (EV) events. The Events Manager will work closely with community-based organizations (CBOs), clients, vendors, and internal teams to ensure the seamless execution of events, from event identification and planning through post-event reporting. This role requires a strong strategic mindset, attention to detail, and an ability to manage multiple stakeholders while elevating the quality and impact of each event. The Events Manager will be key in training, managing, and supporting event staff and volunteers, ensuring all event deliverables are met on time and within budget. This position also assists with national campaigns such as National Drive Electric Month (NDEM) and Drive Electric Earth Month (DEEM).

    Essential Duties:

    Event Coordination & Execution:

    • Oversee the entire lifecycle of events, including planning, logistics, execution, and reporting, ensuring high-quality participant experiences and alignment with organizational goals.
    • Coordinate with community organizations (CBOs) to secure event locations and confirm necessary permits, insurance, and COIs.
    • Collaborate with clients to ensure event objectives are clearly understood and met, providing exceptional client relations.
    • Secure vendors, create and communicate detailed logistics plans, and ensure all invoicing and payment requirements are fulfilled.
    • Delegate the preparation and organization of event day materials.
    • Manage event budgets, track expenses, and collaborate on invoicing and financial reporting.
    • Coordinate the setup and breakdown of event spaces, ensuring compliance with safety standards and smooth transitions.
    • Manage on-site operations, including staff and volunteer management, attendee engagement, and troubleshooting on event days.

    Strategic Event Planning:

    • Develop and maintain detailed event timelines, calendars, and checklists, ensuring all milestones are met on schedule.
    • Coordinate with internal stakeholders to align events with broader organizational initiatives and objectives.
    • Lead event reporting, including post-event analysis and recommendations for improvements.
    • Identify opportunities to innovate and enhance the attendee event experience, from logistics to content delivery.

    Team Leadership & Staff Management:

    • Source, train, and manage event staff and volunteers, ensuring they are fully prepared to contribute to successful event execution.
    • Provide clear communication, leadership, and support to staff and contractors throughout the event lifecycle.

    Collaboration & Relationship Management:

    • Cultivate strong relationships with event partners and external stakeholders to drive event success and ensure stakeholder satisfaction.
    • Work closely with the communications team to promote events and enhance public engagement.
    • Contribute to creating educational resources, including webinars, event scripts, and promotional materials.

    Required Qualifications:

    • Minimum of 5 years of experience in event management, with a proven track record of leading large-scale or high-profile events.
    • At least 2 years of experience managing and mentoring event staff and volunteers.
    • Strong experience with budget management, including tracking expenses, invoicing, and financial reporting.
    • Expertise in project management and using software tools to track event timelines, tasks, and deliverables.
    • Ability and willingness to travel and work flexible hours, including weekends and evenings, as required for events. (Most travel would take place March-November, typically 4 or less consecutive days/trip)
    • Ability to work independently and as part of a team, managing multiple events and priorities simultaneously.
    • Exceptional written and verbal communication skills, with the ability to communicate clearly with internal and external stakeholders.
    • Strong problem-solving skills, with the ability to adapt to changing conditions and resolve issues effectively on the day of events.
    • Experience in sourcing event vendors, negotiating contracts, and completing all logistical details.

    Preferred Qualifications:

    • Experience in the electric vehicle or clean transportation industry.
    • Familiarity with virtual event platforms and online event management.
    • Proven experience in leading or collaborating on community-driven initiatives, particularly in diverse or underserved communities.
    • Knowledge of sustainable transportation practices and the electric vehicle market.
    • Experience in developing educational content, such as presentations, webinars, and event scripts.
    • Degree in education, event management, communications, or a related field. Equivalent experience derived from volunteer work, organizing community events, or any other relevant experience is equally valued.

    Salary Hiring Range:

    The salary hiring range for this position is $75,000-$82,000 per year, commensurate with experience and skills.
