    About the role

    The Junior Volunteer Support at MEDLIFE is crucial in expanding our mission by ensuring the seamless, efficient, and safe execution of Service Learning Trips (SLTs).

    Your day to day involves coordinating all logistics for Service Learning Trips (SLTs), ensuring a safe and seamless experience for volunteers and field staff. Responsibilities include managing registrations, trip communications, travel arrangements, budgeting, and supplier negotiations for Lima & Cusco regions. This role is essential for delivering impactful volunteer experiences that support the organization's mission to empower communities worldwide.

    What will your day-to-day look like at MEDLIFE?

    Trip Planning & Coordination

    • Quote and manage extension requests for MEDLIFE and Good Life Expeditions (GLE).
    • Organize and update SLT work sheets for assigned trips.
    • Maintain detailed records of itineraries, budgets, and trip logistics.
    • Manage hotel blocks/reservations and trip budgets for all regions.
    • Prepare and update trip itineraries, budgets, and related documentation.

    Field Support

    • Assist the Cusco team with trip logistics and participant coordination.
    • Ensure the smooth execution of daily operations during SLTs.
    • Serve as an on-site support contact for volunteers and field teams.

    Reservation & Procurement Management

    • Support the booking and purchasing process for MEDLIFE and GLE trips.
    • Manage and track reservations for accommodations, transportation, and activities.
    • Ensure that all reservations align with budgetary and operational needs.

    Participant & Emergency Support

    • Act as a primary contact for volunteers during trips.
    • Handle last-minute changes and troubleshoot any logistical issues.
    • Support emergency coordination and response when necessary.

    What will you bring?

    • 1+ year of work experience in operations, logistics, or travel coordination, ideally with experience in volunteer or educational programs.
    • Bachelor’s degree in Business Administration, Hospitality, or related field.
    • Advanced-level English skills required.
    • Familiarity with budget management and inventory tracking tools.
    • Strong organizational skills with the ability to handle multiple projects simultaneously.
    • Excellent communication and interpersonal skills for dealing with participants, vendors, and team members.
    • Financial acumen for budgeting, invoice reconciliation, and payment processing.
    • Ability to manage emergency situations and last-minute logistical changes.
    • Proactive and detail-oriented approach to problem-solving.
    • Commitment to MEDLIFE’s mission of empowering communities through healthcare, education, and community development.
