    Description

    Overview:

    The National Council of Jewish Women New York (NCJW NY) seeks a creative, dynamic, engaging, and enthusiastic Program Coordinator. The Program Coordinator will work primarily on NCJW NY’s Council Lifetime Learning (CLL) program, planning, implementing, tracking, and evaluating activities and services aimed at enhancing the well-being and quality of life for older adults in the community. The Program Coordinator will also assist with other NCJW NY programming as needed, including the Back 2 School Store and the Hunger Program. The Program Coordinator will collaborate with internal and external stakeholders, manage resources, and ensure the delivery of engaging programs tailored to the needs and interests of the participants.

    Responsibilities:

    Program Administration and Coordination for CLL:

    • Act as the initial point of contact for visitors, clients, and instructors in the reception area.
    • Explain CLL program offerings and NCJW NY membership to new participants, working with them to choose and register for classes and activities and renew membership.
    • Collect and process membership and registration fees.
    • Generate and distribute invoices based on class fees, verify accuracy of billing information, maintain billing records, and follow up on overdue payments.
    • Track and maintain accurate records of class registrations/attendance on an ongoing basis and enter data into the database.
    • Coordinate program logistics, ensuring classes are appropriately set up and instructors are equipped with class materials.
    • Conceive, produce and manage special events (such as performances, lectures, art exhibitions, celebrations, etc.) that promote social engagement, physical activity, mental stimulation, and overall wellness.
    • Work with the onsite social worker to identify clients in need of additional outreach, resources, and referrals.
    • Perform other duties as needed.

    Outreach, promotion, and communications/marketing:

    • Communicate with and conduct outreach to CLL participants and potential participants; update registration and marketing materials, create and distribute flyers, and send email blasts.
    • Identify, initiate, and collaborate with local media, senior organizations or centers, healthcare providers, local residences, and other stakeholders to expand, promote, and raise awareness of CLL program offerings and resources, including “tabling” at health/senior fairs.
    • Operationalize the Marketing Plan and work with communications staff to develop new CLL materials that utilize key messages, including brochures, flyers, and email templates.
    • Collect quotes and photos from participants for CLL marketing materials.
    • Conceive and implement events such as “Bring a friend day” and “Open House” annually.
    • Special projects as assigned.

    Volunteer Coordination:

    • Identify, recruit, and engage clients as volunteers CLL “Ambassadors” to support program outreach and promotion.
    • Serve as lead staff person for CLL Ambassadors, convening the group and facilitating their work as outlined in the Marketing Plan.
    • Initiate and track conversations with CLL Participants about volunteering, engaging more existing participants as volunteers.
    • Track activities and contacts made by CLL Volunteers.

    Other responsibilities:

    • Planning, organizing, implementing, and supporting specific initiatives with the Back 2 School Store Program.
    • Coordinate with LINC social worker to make appropriate referrals and manage invoicing and billing processes, ensuring accuracy and timely payments.
    • Serve as the liaison connecting clients from other programs to CLL.
    • Assist and support the Director of Community Programs as needed.
    • Specific duties and requirements may vary depending on the organization and community needs.

    Qualifications:

    • Bachelor’s degree in social work, gerontology, recreation management, or a related field (equivalent experience will also be considered).
    • Previous experience working with seniors and/or community programs and coordination.
    • Strong organizational and multitasking skills, with the ability to manage multiple priorities and deadlines.
    • Excellent communication and interpersonal skills, with the ability to build rapport with diverse populations.
    • Proficiency in Microsoft Office suite and other database management software.
    • Spanish language a plus.
