    Description

    Working collaboratively with the Managing Director and Board President, the Project Coordinator provides comprehensive planning, organization, communication, and calendaring for a small team focused on a singular project. The Solidago Foundation is entering its final year, and this Legacy Project will tell the story of the foundation’s 28year history of inspiring support and action for progressive, grassroots, social justice movements. Along with its sister fund, See Forward, a 15 year, C4 spend down foundation, Solidago hopes to inspire ongoing support for strategic grassroots work.

    The project involves the use of historical data analysis and storytelling in multi-part, multi-media formats to convey the impacts and lessons learned of key aspects of the foundations' work that are particularly relevant today.

    This role is critical to ensuring effective communication and collaboration among internal team members and outside consultants, as well as communication with stakeholders and ultimately target audiences. The Project Coordinator will work directly with foundation leadership. They will hold a complete picture of the work that needs to get done, do project work planning, identify priorities and precursors, be adaptive to updates and changes, assign the right work at the right time to the right person and provide follow-up as needed to ensure completion. The ideal candidate will have strong organizational and people skills, be proficient with project management software, and have experience with Excel and AirTable. They will be able to support the internal team members in their use of Microsoft365 and specifically the project management tools Microsoft Project and Planner, as well as Teams and SharePoint.

    This is a contactor consulting role, requiring a commitment through the end of the project around December of 2025. This is a part-time (15-20 hours a week) position requiring consistent work hours each week, with a minimum of 2 days (Mondays and Thursdays) in person in Northampton, MA.

    Responsibilities:

      • Project Coordination – Solidago/See Forward Legacy Project Create and maintain an up-to-date and comprehensive project work plan that outlines priorities, precursors, tasks, timelines, and resource allocation
        • Utilize Microsoft Project and Planner project management software
        • Maintain a broad understanding of the work that needs to be performed, in what order, and by whom throughout the project
        • Track progress and make adjustments as needed to stay on schedule
      • Create agendas for and run weekly team meetings
        • Keep track of action items and follow up tasks
      • Serve as the primary point of contact for consultants and outside vendors
        • Organize and interface with outside Project Consultants and take notes at meetings
      • Ensure project files are organized and accessible in SharePoint
      • Organize interviews with stakeholders
      • Organize production and distribution of project deliverables, as well as travel, gatherings and presentations for the project rollout
        • Maintain a calendar of external events, including convenings and deadlines
        • Help hire and manage task specific vendors, like web designer, photographer and videographer
      • Administrative SupportProvide basic information technology support to the whole Solidago team as needed
      • Offer one-on-one training on the Microsoft365 platform including using Teams, OneDrive, SharePoint, Project, Planner, and other web applications as needed
      • Provide general administrative support for the Solidago leadership team, primarily the Board President
      • Other duties as assigned

    Required Skills and Experience:

    • Proficiency with Microsoft365 suite of applications including Teams, SharePoint Planner and Project
    • Experience working with data in Excel and AirTable.
    • 5 years’ experience in administrative work, with an emphasis on project management
    • Comfortable working in a hybrid environment, with team members in Northampton, Massachusetts as well as other remote vendors, consultants and stakeholders.
    • Good interpersonal communication skills.

    Compensation:

    • $50/hour
