    Position Summary:

    The Operations Coordinator is responsible for administrative support for the range of programmatic offerings at the Center. The Operations Coordinator will have overall responsibility for ensuring that program offerings are correctly listed on the website, accurately scheduled in the facility reservation system and that accounts receivable are current. The Operations Coordinator will ensure that contracts with teaching artists, presenters, program partners and other vendors are executed in a timely manner.

    Responsibilities:

    • Serve as administrative point of contact for Hill Center’s programs
    • Manage and expand relationships with existing partners to increase business activity
    • Execute contracts with external program providers, teaching artists, chefs and other content providers and ensure insurance requirements are up to date
    • Create payment advices/check requests and process refunds for contractors and other artists/providers of cultural offerings
    • Monitor and process accounts receivable, including bank deposits
    • Handle all operations for Hill Center programs: monitoring facilities reservations, keeping internal systems up-to-date, and working with marketing team on program materials
    • Supervise schedule of offerings in programmatic spaces including galleries
    • Assist and support marketing, communications and development activities
    • Develop and create social media content that documents and markets Hill Center programs
    • Ensure website entries are accurate and compelling
    • Other duties as assigned

    Qualifications:

    • Minimum 3 years of relevant experience
    • Familiarity with online registration and scheduling software
    • Must be proficient in Microsoft Office, email marketing platforms, Google Drive, and website content management systems. Experience with MailChimp, ActiveNet, Canva and WordPress (or comparable programs) highly preferred.
    • Ability to stay focused in a fast-paced environment
    • A self-motivated team player with organizational/logistics experience
    • Excellent organizational, administrative, and time management skills required.
    • Strong written and verbal communication skills
    • Must be able to work full time onsite, including flexible days and times that may involve evening and/or weekend work
    • A collaborative and energetic approach
    • PLEASE NOTE: Applicant must be qualified to obtain a Beverage Manager’s License (must be at least 21 years old)
